Summary
Dispatch and Shipping Coordinator
Reports to: Shipping Team Leader
Location: Chadderton Oldham
Working Hours: 37.5 hours
Purpose of the Job:
The primary purpose of this post involves the preparation of consignments of finished goods out of the factory for delivery to the company offices and customers worldwide and also to coordinate imports of components into Rotork Controls Ltd.
Key Responsibilities and Outcomes:
•
Prepare shipments for despatch swiftly by the most economical means possible, taking into consideration the specific requirements of the customer and the Country
•
Interact closely with all relevant departments within the company all relevant information as well as customers and agents to ‘fine tune’ the shipping procedure
•
Take ownership of despatch shipments and ensuring that all parties are kept fully informed of shipment status
•
Liaise with external agencies on behalf of the company such as, HM Customs, Shipping Lines, International Banks, etc
•
Enter computer data to prepare consignments for shipment, considering all customer requirements and necessary documentation
•
Prepare and distribute invoices, both manually and computer generated
•
Prepare all relevant documentation required by HM Customs, EU, UK and destination country regulations
•
Prepare and present any and all documentation required to support application for payment by all relevant means
•
Book shipments and collections as necessary
•
Respond effectively to external enquiries and provide information required by the company offices, customer and relevant agents
•
Provide specialist shipping information to all internal departments, Overseas offices and customers
•
Assist Shipping Team Leader as and when necessary and provide cover as required throughout the department in the case of absence
•
Ensure that files are maintained in a manner as required by external inspection authorities and HM Customs & Excise
•
Take ownership of the development, maintenance and monitoring of import shipments
Qualifications & Technical knowledge:
Essential
•
Be proficient in Microsoft Office and preferably ERP / consigning systems / methodology.
•
Previous shipping / despatch /export experience
•
Awareness of the commercial aspects of export and import procedures and conditions is also required
Desirable
•
Experience in imports, letters of credit or international finance would be useful but not mandator.

•
Able to work under the pressure of a busy work environment
