Summary
Originally founded more than two decades ago, my client is a market-leading company operating as a single source solution provider, offering comprehensive and bespoke facilities management and cleaning services in the heart of London. From humble beginnings, they have enjoyed impressive organic growth across a diverse array of demanding luxury retail and sophisticated commercial clients that includes over 150 blue-chip companies with both retail and office sites. The company continues to grow, remaining firmly in family hands. Their principles of twenty years ago remain the same to uphold the highest levels of service, quality, reliability, flexibility and environmental Sustainability. Currently I am working with them to appoint an Operations Administrator. The Operations Administrator provides administrative support to the operations department, ensuring the efficient management of resources, communication, and compliance. This role facilitates the coordination of operational processes such as ordering cleaning materials and consumables, handling client and supplier communications, processing payments, and maintaining compliance with COSHH and ISO 9001 standards. The Specific role duties are as following:
Administrative Support
• Manage and process orders for cleaning materials and consumables.
• Ensure alignment between materials and consumables received on-site and those invoiced, maintaining control.
• Maintain records and documentation related to operational activities.
• Prepare quotations and invoices as required.
• Effectively utilise company systems and applications to ensure accurate information management and process traceability.
Client and Supplier Communication
• Respond to client and supplier inquiries via email or telephone in a timely and professional manner.
• Respond to client requests for extra works.
• Collaborate with suppliers to ensure timely delivery of materials and services.
• Address operational concerns raised by clients and escalate as needed.
Compliance and Standards
• Ensure adherence to COSHH (Control of Substances Hazardous to Health) regulations.
• Support the implementation and maintenance of ISO 9001 standards.
• Maintain accurate records for audits and compliance reviews.
Financial Support
• Assist in processing payments to suppliers and vendors.
• Track operational expenses and ensure they align with allocated budgets.
• Support the operations team in managing cost control initiatives.
Operational Coordination
• Liaise with internal teams to ensure smooth execution of operational processes.
Responsibilities of the role
• Support and reinforce sustainability initiatives by ensuring adherence to company policies on responsible resource use, waste reduction, and environmentally friendly practices in daily operations.
• Be familiar with and follow the company’s internal regulations and health and safety guidelines.
• Carry out all tasks aimed at improving the company.
• Attend all assigned meetings.
• Inform his/her immediate supervisor of any events, deficiencies, or irregularities that disrupt the normal performance of your duties.
• Classify supporting documents according to their origin.
• Maintain a workplace environment that fosters organisational culture and growth.
• Adhere to the guidelines provided by the company.
Previous experience and knowledge
• Minimum 2 years of experience in an administrative or operational support role.
• Familiarity with inventory management, supplier coordination, or customer service.
• Knowledge of COSHH regulations and compliance requirements.
• Understanding of ISO 9001 standards and their operational implications.
• Familiarity with financial processes such as payments and quotations.
• Proficiency in using technology for operational tasks (e.g., Microsoft Office, ERP systems).
£30k-£32k salary, Gym membership, 28 days holiday and NEST pension scheme. NB As a family run company, they can be flexible with travel arrangements and taking time off when required or allowing unpaid leave.
