As a Voids Coordinator at Freebridge Community Housing, you’ll provide vital planning, scheduling, and administrative support that ensures our voids service runs smoothly, efficiently, and in full compliance with standards. You’ll work closely with colleagues across the organisation, helping to maintain and improve our homes while driving service improvements that truly make a difference. About Freebridge Community Housing:
Our Freebridge Community Housing goal is to provide affordable, safe, and quality homes for current and future generations, for those who need a place to call home. Freebridge was set up in 2006, to receive the transfer of the Borough Council of King’s Lynn and West Norfolk’s housing stock. We now have over 7500 properties across west and north Norfolk, in addition to building new homes for social and affordable rent, and to support those who want to move into shared home ownership. What you’ll be doing:
• Administrative Support: Provide robust administrative support to the Voids Manager, including budget monitoring and maintaining key databases and systems.
• Financial Processing: Assist with invoice processing, raising purchase orders, and reporting on team performance.
• Data Management: Supply timely and accurate void-related data to the Voids Manager and wider team to support decision-making.
• Void Notification Handling: Review all void notifications and ensure they are processed within expected timescales.
• System Updates: Maintain accurate records of void events within property management systems.
• Operational Coordination: Support the voids team with key administrative tasks such as managing utilities, arranging compliance inspections (gas, electrical, EPC, asbestos), and coordinating clearances, decorating vouchers, and recharges.
• Let-Ready Preparation: Prepare and issue handover packs containing keys, compliance certificates, and essential property documents to support the letting process.
• Performance Monitoring: Monitor surveying-related tasks, flag issues for escalation, and assist managers with compiling performance reports from internal systems.
• Team Collaboration: Organise meetings and events, including preparing agendas, booking rooms, welcoming visitors, and taking minutes.
• Service Improvement: Use data and business intelligence to identify opportunities for change, innovation, and continuous improvement, while maintaining a strong focus on health and safety and personal development.

What we’re looking for:
• Previous experience of working within voids and repairs/maintenance
• Strong organisational skills and ability to prioritise a busy and reactive workload.
• Ability to demonstrate reliability, initiative, ability to work as part of a team and on your own.
• Excellent communication skills and the ability to be clear and consistent with a range of stakeholders
• Administrative skills, including confident use of IT systems including MS Office packages.
• Experience of providing performance monitoring and commentary against business targets and working to meet KPIs
