Job Purpose

We are seeking an experienced Finance Assistant to join our fast-paced team, providing support with Purchase Order and Invoice Query Resolution across one of our Government Contracts. The successful candidate will be responsible for accurately following internal GRN procedures to process a high volume of invoices, ensuring that workflow volumes are kept to a minimum. In addition to this, the role includes supporting ad-hoc administration duties for a UK-wide contract. The Finance Assistant will also be expected to resolve queries and communicate effectively with all stakeholders. Maintaining strong supplier relationships and providing support with all Purchase Order and Invoice Queries to ensure effective resolution is a key aspect of this position.

Your Role

In this role, you will support the management of a shared mailbox, responding to both internal and external queries while effectively following escalation procedures and maintaining a highly professional standard of communication. You will be responsible for providing effective analysis of data across systems to ensure continuity and accuracy. It is essential to keep system comments and statuses up to date. Additionally, you will provide support and reporting to the contract teams and your line manager as required. A key part of the role involves maintaining professional dialogue with suppliers, keeping them informed of necessary actions to facilitate the smooth operation of their accounts. You will work closely with colleagues to ensure continuous service to all internal clients and will be expected to cover for other team members during holidays and unplanned absences. You will also be responsible for running both cyclical and ad-hoc reports from the Coupa system.

Skills & Experience

The ideal candidate will have a good knowledge of Supply Chain Management, and while familiarity with Facilities Management is preferable, it is not essential. Excellent written and verbal communication skills are required, along with a good working knowledge of Microsoft Excel—experience with VLOOKUP and Pivot Tables is preferred but not mandatory. Proficiency in other Microsoft packages, including Outlook, is also important. Demonstrable experience using systems such as Coupa and Maximo is preferred but not essential. Strong analytical skills and a keen attention to detail are key to success in this role. The candidate must also possess the ability to evaluate situations, identify root causes, draw sound conclusions, and effectively communicate both the cause of problems and recommended solutions.

The ideal candidate will have the ability to deliver high standards of work consistently and demonstrate proficiency in quickly learning and understanding new systems and software. A willingness to investigate problems and identify effective solutions is essential. The role requires excellent organisational skills and a proactive approach to learning. The candidate should be a confident communicator with strong interpersonal skills and be someone who is eager to contribute to an already effective and high-performing team.
