Summary
The DBS Central Operations Document Handling Team provides a single repository for the secure and sensitive handling of MOD data providing services to customers across Finance, Civilian People, Military Armed Forces and Vetting Services.
The Senior Document Handling Manager will be responsible for the safe, timely and most cost-effective delivery of Postal, Courier, Scanning and file handling services to its customers both internal and external to MOD.
With management responsibilities you will be expected to lead the team in providing excellent customer service working closely with colleagues across DBS and key stakeholders to develop and improve service provision ensuring the teams compliance with all postal, reprographic and scanning service agreements provided to the service lines to ensure there is no detriment in their ability to meet their KPI's.
The Senior Document Handling Manager has budget responsibilities of up to approximately £600K. Managing and auditing against a yearly postal budget and writing and submitting business cases as and when needed.
Key responsibilities include:
Provide day-to-day leadership and operational management within Document Handling including management and audit of a postal budget (up to £600K a year)
Lead, manage and develop service lines, ensuring sufficient capacity, capability, engagement and efficiency, so that the team delivers a responsive, professional and highly valued service in accordance with Key Performance Indicators (KPIs) Performance Indicators (PIs) and Service Level Agreements (SLA’s)
• Support and coach HEO’s/team leaders to build management capability to prioritise resources, staff retention, drive staff engagement and resilience.
Maintain an effective management information and reporting framework, to ensure compliance against budgets and forecasts offering value for money to Defence
• Develop proposals to continuously improve end-to-end processes supporting the on-going transformation of DBS, aligning with on-going operational activities
• Lead in communications for both customers and staff when required.
• Maintain an effective business continuity plan, including testing to assure procedures are robust, compliant and to manage risks to services, including any potential risks associated with transition periods and transformation programmes.
Create and maintain relationships between Stakeholders, so the business remains sustainable
• Ensure technology is fit for purpose
Pro-actively input into business solutions which impact document handling from across DBS to ensure that the associated customer/process journey is customer focused and does not have a negative impact on the customer experience.
Collaborative working across Central Operations and DBS colleagues, leading and participating in daily, weekly, monthly management meetings.
Input into the DBS Service Catalogue, Business Continuity Plan, Risk Register, OPP, Annual delivery plans and budget business cases.
Some travel to other locations may be required and due to the nature of the work the team are required to be in office full time.
