Summary
As a Multi Occupation Specialist, you will be responsible for leading office operations and administration services at the Bristol site. You will report to the Boeing International Enterprise Services Business Support Manager – UK and Ireland.
This role is a part time position for Thursday and Fridays, 7.5 hours per day. There may be a requirement to cover additional days for team leave but this would be discussed on a needs basis.
Primary responsibilities:
Duties will include (but are not limited to):
-Manage and operate the Front of House requirements for our visitors and employees
-Manage meeting rooms, offices and high profile events, ensuring a high standard of hospitality for all site residents and visitors attending or hosting meetings and maintaining the upkeep of the meeting areas
-Ensure proper application and implementation of policies and best practices related to workplace health and safety and business continuity
-Ensure general upkeep of the office and equipment
-Work closely with the United Kingdom & Ireland Boeing International Enterprise Services team, including – Administrative Assistants, Front of House and Business Support teams in other UK offices, including providing remote and/or on-site backup support
-Coordinate events for internal and external visitors
-Build positive customer relationships, ensuring quality service is provided, by aligning to the Boeing Values
-Complete visitor screening process to support security requirements for the site
-Deliver the Health and Safety Induction to Contractors and Visitors as required
-Conduct & record office safety walks
-Keep up to date the emergency contact information for the site and test the emergency scenarios
-Office Consumable procurement and management
-Assistance with travel plans & expenses
-Various administrative needs of the building (post, ensuring bills get scanned and sent to finance or IT etc.)
-Procurement administration and resolving invoice queries
