JOB TITLE: CHARITABLE SERVICES ADMINISTRATOR

Reports To: Child and Family Support Manager

ROLE PURPOSE

The Charitable Services Administrator provides efficient and professional administrative support to the Equipment and Nurse
Service teams within Newlife. This role ensures timely communication with families, professionals, and suppliers, contributing to
the smooth and effective delivery of services. Key responsibilities include managing communications, maintaining accurate records,
processing invoices and purchase orders, and supporting the wider administrative needs of the team. Through high-quality support,
the role directly contributes to improving the lives of children and their families.

KEY RESPONSIBILITIES

* Professionally answer and manage incoming telephone calls and emails.

* Promptly direct enquiries and messages to the appropriate team members.

* Handle callback and email requests and follow up where required.

* Maintain accurate records of communications and actions.

* Provide general administrative support across the service.

* Process and log invoices in a timely manner.

* Raise purchase orders (POs) accurately and efficiently.

TEAM MEMBER REQUIREMENTS

QUALIFICATIONS & TRAINING

* GCSEs (or equivalent) in Maths, English, and Information Technology at Grade C or above.

KNOWLEDGE & EXPERIENCE

* Prior experience in an administrative role, ideally within a health or social care environment.

* Familiarity with information databases, preferably Microsoft Access.

* Strong understanding of confidentiality principles and GDPR compliance.

SKILLS

* Ability to prioritise workload and work effectively in a fast-paced environment.

* Strong verbal and written communication skills, delivered with confidence and sensitivity.

* Skilled in managing expectations of families and professionals.

* High level of accuracy and attention to detail.

* Excellent record-keeping and IT skills, including proficiency in Microsoft Word and Excel.

* Problem-solving mindset with the ability to troubleshoot and overcome barriers.
