Summary

Project Management Assist the project sponsor in the overall project design and implementation phases. To gain co-operation, lead, fully involve and motivate all relevant staff groups throughout the project, setting up work groups and/or sessions to fulfil project objectives. To arrange and lead relevant meetings at various stages throughout the project, this will include internally to GHC and also the wider Integrated Care System To identify a range of potential and actual risks or issues that may affect the completion of the project or need the project to be restructured and escalate as appropriate. As delegated by the Senior Project Lead, supporting projects elements that are to be planned, managed and delivered using the standard project methodology, with clear initial planning, governance and leadership, alongside strong and relevant stakeholder involvement. Projects are to be underpinned through accurate and timely documentation with processes for performance management, monitoring of progress and delivery within budget, and contingencies for delays or other problems, including ensuring business continuity. To negotiate levels of autonomy with the Project Lead on an individual project basis. Run and coordinate the delivery of monthly reports (or more frequent if required), including NICE guideline tracker, SOPs, guidelines and policies as necessary for project governance and Directorate monitoring, in a format consistent with the project methodology, reflective of the needs, size, pace of development, and political sensitivities of each project. Project work must be undertaken in accordance with policies and good practice with particular regard to Standing Financial Instructions, Schemes of Delegation, Procurement, protocols for decision making, safeguarding of public resources, public relation, and areas such as Health and Safety and Staff/Patient security. Contribute towards the development of the service for the future. General To work to ensure the flow of communication between Heads of Service, Team Leaders and Specialist Health Visitors is seamless. You will work alongside and seek advice from a range of technical experts in areas such as Estates and IM&T and should exercise judgement and seek support as to when it is necessary to question or challenge such advice. You will be expected to present to groups related to projects, negotiate with groups and support services involved in delivering the project, link work to other change initiatives, monitor and highlight performance related to delivery and targets, ensure thorough and recorded planning, monitor expenditure and budgets, maintain project records and systems, deliver post project evaluations, write and present reports- all as agreed with the Project Lead and in accordance with project methodology. You will need at times to function as the external business face of Gloucestershire Health and Care NHS Foundation Trust and as such will be expected to work as a positive ambassador for the organisation in their demeanour, behaviour and Trust values. To support the Heads of Service in arranging and co-ordinating multi-disciplinary team meetings with internal staff and external staff where appropriate To undertake surveys or audits which will help inform service developments Undertake appraisals for direct reports with a clear focus on achievement, objectives and personal and professional development. Undertake operational supervision for direct reports both formally and informally to support their wellness and progression. Act as role model for colleagues or student learners. To support the Heads of Service in following HR policy & process. To manage own time and workload effectively, working flexibly and travelling to other community sites, as required. To use the relevant IT systems to coordinate, document, plan and Business intelligence Managing the Heads of Service diaries and portfolios effectively and efficiently. Carry out searches and provide statistical information as required by the Heads of Health Visiting. Organise and facilitate meetings / training events etc, through the creation and distribution of agendas and papers, including minute-taking for the Heads of Health Visiting. Adhere to all Trust policies, paying particular regard to the Information Governance and Data Protection Policies. Effective use of the Trusts Patient Information SystmOne (Electronic Patient Record), with robust updating and recording of accurate data. Contribute ideas and solutions to improving the effectiveness and presentation of the Health Visiting Service. Act in ways that support equality and value diversity. Treat everyone with dignity and respect. Recognise and report behaviour that undermines this. Managing Data and systems Interpret information, highlight trends and/or inconsistencies and undertake the assessment and analysis of business and performance data using GHC platforms. Ensure that data provision is both timely and accurate and that all internal and external reporting deadlines are met To engage with, and provide complex information to clinical and non-clinical staff to develop processes and systems to ensure delivery of a high-quality service.
