Summary

Job Title: Dual Site Workplace CoordinatorReports To: Head of Workplace / Facilities ManagerDepartment: Workplace & FacilitiesLocation: Whiteley & Swanwick (travel between both sites required)Working Hours: Full-time (with flexibility for occasional out-of-hours work)

Purpose of Role:To deliver a high-quality workplace experience across two key client sites, ensuring smooth operational delivery, exceptional service standards, and stakeholder satisfaction. The role demands a proactive, flexible approach to facilities coordination and customer engagement, working closely with internal teams, suppliers, and client stakeholders to maintain a professional, efficient, and welcoming environment.

Key Responsibilities

Workplace Operations (Both Sites):

-Conduct daily floor walks, workplace audits, and quality control checks across customer-facing spaces and report all faults found through CAFM system reporting, following through to resolution.

-Oversee workplace storage solutions and manage building furniture inventories.

Stakeholder Engagement & Communication:

-Act as the liaison between on-site stakeholders and the Facilities Management (FM) team.

-Prepare and distribute stakeholder communications as needed.

Project & Event Support:

-Lead and support minor FM works projects, from reviewing quotes to execution and snagging.

-Assist with delivery of larger workplace projects including stakeholder coordination, contractor management, RAMS submission, approvals, and drawing updates.

-Coordinate and support internal site events and VIP visits to ensure a seamless experience.

Health & Safety & Compliance:

-Support periodic service reviews to identify improvements and potential cost savings.

-Coordinate DSE assessments and action workplace adjustments as required.

-Promote and uphold health and safety procedures, fostering a culture of safety awareness across both sites.

Skills, Experience & Qualifications

Essential:

-Proven experience in a facilities, workplace, or customer service coordination role.

-Strong interpersonal and communication skills - confident liaising with all levels of staff and contractors.

-Proactive, self-motivated, and capable of working independently across multiple locations.

-Competent with Microsoft Office (Word, Excel, Outlook, PowerPoint).

-Organised, detail-oriented, and able to manage competing priorities across two sites.

Desirable:

-Health & Safety qualification (e.g. IOSH).

-Experience supporting or managing workplace/facilities projects.
