The Workplace Facilities Assistant plays an important role in ensuring a smooth, professional, and well-functioning environment across the client account.

This is an excellent entry point into both ISS and the wider Facilities Management sector, offering hands-on experience within a high-performing, customer-focused team.

Job Description

The role is central to the daily running of workplace operations, supporting employee satisfaction and delivering a welcoming experience for all visitors.

Working collaboratively with internal teams and stakeholders, the Workplace Facilities Assistant helps to uphold the values and service standards expected by both ISS and the client.

With a strong focus on customer service, the role provides essential front-line support and technical assistance across Arcadis UK offices. It demands a proactive approach, attention to detail, and an understanding of Facilities Management processes and compliance procedures.

The position offers the opportunity to contribute to a consistent, high-quality working environment while gaining valuable experience in a dynamic and supportive setting.

Key Responsibilities

Support the Workplace Facilities Manager with daily operations and team coordination
Maintain accurate records and ensure compliance with workplace policies and standards
Coordinate services (cleaning, catering, maintenance) for efficient site operations
Manage workplace data, generate reports, and assist with budget tracking
Act as the first point of contact for workplace queries and service coordination
Liaise with suppliers and communicate updates across the business
Ensure health, safety, and ESG compliance across all workplace activities

Professional and Personal Competencies/Qualifications

Experience in coordination or admin roles, ideally within facilities or workplace settings
Proficient in Microsoft Office and workplace management systems
Strong organisational skills with the ability to manage multiple priorities
Excellent written and verbal communication
Awareness of health and safety regulations and reporting (preferred)
