Position Summary

The Practice Manager is a pivotal leadership role responsible for overseeing the administrative, financial, and operational aspects of the practice. This position ensures that the business operates efficiently while supporting strategic goals and maintaining compliance with industry regulations. Working closely with senior partners, department heads, and operational teams, the Practice Manager will implement processes, manage staff performance, optimize resource allocation, and foster a culture of accountability and excellence. The successful candidate will be both a strategic thinker and a hands-on manager who thrives in a fast-paced, client-cantered environment.

Key Responsibilities

The Practice Manager will be responsible for managing a wide array of activities that are essential to the effective operation of the practice. These include but are not limited to staff management, financial oversight, compliance, client relations, IT and facilities coordination, and business development support.

One of the core responsibilities of the Practice Manager is team leadership and personnel management. This includes recruiting, training, supervising, and appraising administrative and support staff. The Practice Manager will establish clear performance expectations, conduct regular performance reviews, and manage workloads to ensure optimal productivity and staff engagement. They will promote a positive work culture and address HR-related concerns in coordination with the HR department or external providers.

On the financial side, the Practice Manager will be responsible for budget planning, expense control, and financial reporting. They will work closely with the finance team to prepare and monitor budgets, oversee billing and invoicing, track outstanding payments, and review financial statements. The manager will identify cost-saving opportunities, negotiate with suppliers or vendors, and ensure the practice remains financially sustainable.

Another key area of focus will be regulatory compliance and quality assurance. The Practice Manager will ensure the practice adheres to all applicable laws, industry-specific regulations, and internal policies. They will oversee audits, maintain records, manage insurance, licenses, and accreditations, and develop risk management strategies. For practices in regulated industries such as healthcare or law, the manager will serve as the compliance officer, ensuring protocols meet standards such as HIPAA, OSHA, CQC, SRA, or similar bodies.

The role also involves client and stakeholder engagement. The Practice Manager will be expected to manage client onboarding procedures, handle escalated complaints, implement service quality standards, and analyze client feedback to drive improvement. They may collaborate with marketing or business development teams to support campaigns, manage events, or produce reports that contribute to strategic planning and client retention.

The Practice Manager will also be expected to lead operational improvements and implement technology solutions. They will assess current workflows, identify inefficiencies, and work on solutions to optimize scheduling, reporting, file management, and internal communications. Coordinating with IT support, the Practice Manager will help ensure that systems are secure, up-to-date, and user-friendly. Knowledge of digital tools such as CRM systems, practice management software, or cloud-based accounting systems is essential.

Finally, the Practice Manager acts as a key liaison between senior leadership and operational staff. They will support the leadership team by preparing operational reports, attending management meetings, and contributing to strategic discussions. This role often serves as the communication bridge, ensuring that organizational goals are translated into practical, actionable plans for staff at all levels.
