Office Administrative Assistant

Wirral Society of the Blind and Partially Sighted, Ashville Lodge have been providing services in Wirral since 1989. We provide help, support and advice to everyone with a visual impairment.
As we continue to grow, we are in need of an Office Administrative Assistant to join the team. Reporting to the Centre Supervisor, you will be responsible for providing office administration support to the staff team in order to achieve efficiency of working practices across the organisation.

Key Responsibilities
- Coordinate meetings & events, ensuring availability of relevant resources e.g. people, room, facilities etc.
- Process or distribute incoming correspondence, telephone and email enquiries to ensure appropriate response
- Collect, collate, and update key information to maintain records & databases as appropriate: for example, membership and personnel records, statistical data, client feedback etc.
- Collaborate with the team to follow and improve systems and processes to ensure the organisation works efficiently and makes better use of available technology. A knowledge of Office 365 would be an advantage.
- Support the Volunteer Coordinator to maintain communication with volunteers to share news, opportunities, focus groups etc.
- Support the Volunteer Coordinator to collect relevant documentation: e.g. volunteer agreement, DBS application documents, induction, review of progress, identification of development needs.
- Support the Advocacy officer in the arranging of appointments, collation of statistical data, maintaining filing systems and file retention schedules
- Support the staff/director/volunteer recruitment process e.g. by advertising vacant posts, organising candidate interviews, notification of results etc.
- Maintain systems for filing, retention and destruction of data & records in accordance with Data Protection Regulation
- Assist with correspondence when requested e.g. mailshots, newsletters
- Promote, encourage & facilitate self-help & independence for visually impaired (VI) people.
- Carry out any other duties as reasonably required by management to ensure the efficient running of the organisation.
- Comply with the Confidentiality and Health & Safety policies & always display professional behaviour & appearance.
- The ideal candidate will be a good team player who enjoys working in busy environments who can demonstrate:
- A flexible approach to working and willingness to provide practical support in response to service requirements.
- Willingness to undertake training as required and develop awareness of visual impairment

Other desirables for the role:
- Experience of collecting and collating information
- Knowledge of the local area, amenities and resources
- Willingness to travel to local outreach hubs

Contract: Permanent
Pay: National Living Wage
Hours of work: 17.5 hours per week

Tuesday 10am to 4:30pm
Thursday and Friday 11am to 4:30pm
Hours of work are flexible and can be discussed upon interview.
