About the Role The Royal Borough of Kingston's Facilities Management (FM) team is undergoing a key period of transition, and we’re calling in reinforcements! We're expanding our dedicated “Meanwhile Team” to meet growing service demands while we implement new systems and onboard new contractors.
We’re looking for a dynamic, experienced Facilities Operations Officer to join us on an interim basis and keep our services running smoothly. You'll be part of a friendly, collaborative group that thrives under pressure, shares knowledge, and works quickly and effectively.
Key Responsibilities
Act as the first point of contact for all FM-related customer service needs
Support stakeholder engagement and communication
Manage the FM Webdesk—progressing, monitoring, and closing work orders
Coordinate office moves, deliveries, and meeting room setups with the FM Support team
Monitor shared mailboxes and prioritise tasks accordingly
Assist in audits and inspections (Health & Safety, cleaning standards, etc.)
Support contract administration for suppliers (utilities, cleaning, waste, security)
Handle finance admin: invoices, purchase orders, service charges, and recharges
Maintain accurate records and dashboards to track performance
Create clear documentation, spreadsheets, and meeting notes
Tackle ad-hoc tasks as required
What We’re Looking For
Proven success in a similar facilities operations role
Strong written and numerical skills
Proficiency with Google Workspace and WordPress
Meticulous attention to detail and superb organisational skills
Excellent interpersonal and multitasking abilities
Availability for an immediate start
Please Note: This is a customer-facing role, and you will be expected to be onsite at Guildhall every working day during the assignment.
