Summary
The Henley College is looking for an Estates Co-Ordinator to join us for a fixed term contract. You'll play a key role in ensuring that all buildings and grounds are well-maintained, safe, and compliant with relevant regulations. You'll will work closely with the Estates Manager and other team members to deliver high-quality facilities management services. If you thrive in a collaborative setting and have a passion for facilities excellence, we’d love to hear from you.RESPONSIBILITY AND DUTIESMaintenance and Repairs: Coordinate and oversee routine maintenance and repairs of buildings, equipment, and grounds. Ensure timely response to maintenance requests and emergencies.
Vendor Management: Liaise with external contractors and service providers. Obtain quotes, schedule work, and ensure quality standards are met.
Health and Safety: Ensure compliance with health and safety regulations. Conduct regular inspections and risk assessments. Implement corrective actions as needed.
Budget Management: Assist in the preparation and management of the facilities budget. Monitor expenses and ensure cost-effective solutions.
Space Planning: Assist in space planning and allocation. Coordinate office moves and reconfigurations.
Sustainability Initiatives: Support sustainability initiatives and energy-saving projects. Promote environmentally friendly practices within the estate.
Record Keeping: Maintain accurate records of maintenance activities, inspections, and compliance documentation.
Customer Service: Provide excellent customer service to internal and external stakeholders. Address and resolve facilities-related issues promptly. PERSON SPECIFICATION
Essential Criteria
Minimum of 3 years of experience in facilities management or a similar role.
Strong knowledge of building systems, maintenance procedures, and health and safety regulations.
Excellent organizational and multitasking skills.
Strong communication and interpersonal skills.
Proficiency in facilities management software and Microsoft Office Suite.
Ability to work independently and as part of a team.
Desirable Criteria
Certification in Facilities Management (e.g., IFMA, BIFM).
Experience in an estates or property management environment.

This position may require occasional evening or weekend work.
Ability to lift and carry up to 25 pounds.
Valid driver's license may be required.
TERMS OF EMPLOYMENT
Tenure of post: Full Time, Fixed Term Contract till 30th September 2025Hours of work: 37 hours per week, (Monday – Friday)
Salary: £33,645.00 per annum (Pro rata for Part time)
Pension: Local Government Pension Scheme (optional). This is an employee
and employer contributory pension scheme.
