TRP do this by creating and presenting a breadth of shows on a range of scales, with their extensive creative engagement programmes, by embracing the vitality of new talent and supporting emerging and established artists, and by collaborating with a range of partners to provide dynamic cultural leadership for the city of Plymouth.

To maintain our support provision to the wider organisation we are looking for a highly organised, enthusiastic and pro-active team player to fulfil the role of Executive Assistant to the CEO & Artistic Director.

An opportunity has arisen for a highly organised and proactive Executive Assistant to support James Mackenzie-Blackman, our Chief Executive & Artistic Director of Theatre Royal Plymouth. Working closely with the other two members of our Executive team, and as a member of the Business Support department, you will have the opportunity to collaborate with colleagues across the performing arts industry.



This interesting and varied post needs a professional dynamic individual and a calm, adaptable approach. Exemplary attention to detail is a key attribute to working in the fast-paced creative environment of the CEO & ADs office.



Role Responsibilities:

To work professionally and collaboratively with the Chief Executive & Artistic Director, ensuring high quality and efficient support. Be a confident decision-maker and planner, able to multi-task and prioritise wide ranging commitments.

Be a clear communicator and confident user of Microsoft platforms i.e. Outlook, Microsoft Teams, Word and Powerpoint.

Act as a sensitive gateway to the CEO & AD, handling confidential and privileged information whilst acting with discretion at all times.

Ensuring the Chief Executive & Artistic Director is appropriately prepared when representing TRP is his role on boards and groups, ie. local authority, trusteeships, industry meetings and stakeholder events.

To coordinate and attend meetings in support of the Executive Team, taking minutes and making note of action points, ensuring appropriate follow-up. Attend meetings held across the wider organisation which will provide valuable information in support of your role.

Take personal responsibility for time management. Liaise with the Head of Governance & Business Support to ensure timescales are achievable and to ascertain where additional support may be required.

To professionally represent TRP in your capacity as Executive Assistant when liaising with internal and external colleagues and stakeholders.

Actively engage in opportunities to promote your own personal development in the role.

To ensure that the TRP values of collaboration, creativity, quality and diversity underpin every aspect of your own and the department’s work.

Principal Tasks:



To efficiently administer the busy diary of the Chief Executive & Artistic Director scheduling a wide range of internal and external meetings taking place both locally, nationally and internationally.

To undertake all necessary travel and accommodation bookings. Complete associated administration on internal platforms.

Credit card and expenses reconciliation.

Working under the direction of the Chief Executive & Artistic Director, and Head of Governance & Business Support, to produce and collate papers and reports for governance meetings, presentations and projects undertaken by the Chief Executive & Artistic Director.

Working with the assistance of Business Support colleagues to prepare resources for a variety of internal and external meetings and events on behalf of the Executive team.

To maintain an efficient electronic filing system for all activity within your remit on behalf of the CEO & AD and to regularly liaise with the Head of Governance & Business Support to ensure files are maintained in line with governance requirements.

Under the guidance of the Head of Governance & Business Support, provide cover in times of absence, within the department.

Look for and use initiative to implement ways to improve operational practices in order to work in the most productive manner possible, within your role.

Maintain a positive ‘outcome focussed’ working attitude, using initiative to proactively complete a high standard of tasks to assist the Chief Executive & AD and the wider Executive team whilst remaining calm and professional in what is often a fast-paced environment.

To undertake your duties at either of our two sites where the Chief Executive & Artistic Director holds offices: Theatre Royal Plymouth city centre and our Production & Learning centre, TR2 at Cattedown, Plymouth.
