Summary

SUMMARY OF JOB

Provide comprehensive and confidential executive support and advice to Chief Officer Group Principals.
Assist with delivery of support to operations across the UK and provide support to Portfolio project planning and management.

MAIN DUTIES AND RESPONSIBILITIES

Manage, draft and respond to all correspondence/communication (including e-mails) verbally or in writing on behalf of the COG, taking key decisions when necessary.
Support with Portfolio project planning, communications and management. Create websites/pages and publish material on intranet.
Manage and support daily work by undertaking research and planning, arranging and providing background information for COG, providing detailed, authoritative advice to decision makers.
Arrange and prepare for organisational meetings. Attend meetings, record minutes and note actions. Distribute minutes, ensure all actions from meetings are updated and presented in an appropriate manner prior to the next scheduled meeting.
Maintain effective communications and relationships with internal and external contacts, ensuring messages and relations contribute positively to the Force’s reputation and credibility.
Manage communications, planning events, recruitment, and other administrative tasks as needed.
Process all travel, ensuring best value for money and the most effective means of communication. Make complex travel arrangements and respond to short-notice changes, ensuring that costs are kept to a minimum, fall back plans are considered, and stakeholders are kept informed of the changes.
Manage diary requests/queries including setting up internal and external meetings and making all necessary arrangements.
Manage Principal’s time efficiently, recognising problems before they arise and responding quickly to events and changing priorities by re-scheduling commitments and considering wider impact.
Produce documents with high speed and accuracy, responding to urgent requirements without difficulty and taking regard of local regulations.
Handle information requests and research/retrieval of on-line documents. Adept with advanced redactions of documents.
