Mencap is seeking a motivated and detail-oriented Supported Internship Administrator to join our dedicated team in our Birmingham City Centre office. This full-time role (37.5 hours per week) offers a fantastic chance to contribute to a vital programme that empowers individuals with learning disabilities.

A typical day might involve:
- General Administration: Providing comprehensive administrative support to the team, including printing, posting, scanning, and archiving documents; organising meetings and booking rooms; completing applications and various paperwork; taking minutes at meetings; managing stationary orders; and handling correspondence and communications with learners, parents/carers, and external partners.
- Data Management: Maintaining accurate information on central databases and systems, including data entry, updates, and report generation.
- Team Support: Providing crucial support to the team by managing correspondence, handling queries, and ensuring effective communication with learners, parents/carers, and external partners.
- Data Analysis and Reporting: Analysing weekly reports to identify and resolve any discrepancies or gaps in data, ensuring data integrity and accuracy.
- Compliance Monitoring: Monitoring and updating the team on essential items such as licenses, training records, and insurance, ensuring compliance with relevant regulations and internal policies.
- Access to Work Management: Taking full responsibility for managing the Access to Work process, including assisting with applications, liaising with stakeholders (e.g. DWP), and meticulously tracking the process.
- Financial Administration: Supporting the Programme Coordinator with various financial tasks, such as processing accruals, handling invoice processing, supporting budget monitoring activities, and processing expense claims.
- Health and Safety: Providing support with health and safety compliance within the service, ensuring a safe working environment for all.
- Learner Tracking: Facilitating the accurate capture of tracking data when learners leave the program, ensuring accurate record-keeping and reporting.
We're looking for someone with:
- Exceptional organisational and time-management skills, with the ability to prioritise tasks effectively and manage a diverse workload.
- Excellent communication skills, both written and verbal, with the ability to communicate clearly and professionally with a range of individuals.
- Proven ability to work to deadlines and deliver accurate results.
- Strong IT skills and proficiency in the Microsoft Office 365 suite, including Outlook, Excel, Word, and other relevant systems.
- Demonstrable understanding and awareness of GDPR processes and guidelines, ensuring compliance with data protection laws and regulations.
