Summary

The DBS Secretariat has two roles: 1) responsibility for co-ordinating and drafting responses to Ministerial briefing requests, Ministerial correspondence, parliamentary questions, and Freedom of Information requests, and 2) supporting the monthly DBS Board and Customer Board both chaired by the Chief Executive, and the quarterly Audit and Risk Committee chaired by a Non-Executive Director (NED).

Working to the Board Secretary this role provides administrative support to DBS’ top-level internal governance boards, NEDs, the wider Secretariat, and outer office supporting the Chief Executive and Chief Operating Officer.

Main Responsibilities

Providing necessary administrative support to DBS Secretariat, Outer Office and Corporate Level Boards. Based in Abbey Wood, Bristol, tasks will include:

Collating and distribution of Meeting Packs for DBS Corporate Level Boards.
Provide administrative support to assist in the preparation of replies to Parliamentary Questions, Ministerial Correspondence, Treat Official correspondence and Freedom of Information requests, including registering and distribution of new cases, preparation of files, record keeping and publication of final drafts.
Maintenance of Board Secretariat Group Mailbox, Teams and SharePoint sites and associated filing.
Day to Day support of the DBS Non-Executive Directors, including travel and subsistence claims and all associated paperwork.
Provide routine administrative support to Secretariat and the outer office as required including travel booking and collective administrative support to the Executive Leadership Team, for meetings or events that may require group travel, accommodation, and related support.
