Introduction

The Strategic Estates (SE) team is responsible for maintaining and improving the Parliamentary Estate, ensuring that Parliament's buildings remain functional, safe, and fit for the future. SE operates within a World Heritage Site, balancing conservation with innovation while providing services to both the House of Commons and House of Lords.

The Estates Information Management (EIM) team plays a crucial role in managing information security, digital asset management, and compliance with legislative and industry standards. With the Restoration & Renewal (R&R) Programme underway to safeguard the Palace of Westminster for future generations, effective information sharing between Strategic Estates and the R&R Programme is vital to its success.

The Role

As an Information Management Assistant, you will play a key role in supporting information sharing and compliance within the Strategic Estates team. You will be responsible for coordinating and managing Requests for Information (RFIs) between Strategic Estates and the R&R Programme, ensuring that information is accessible, reliable, and properly recorded for future use.

You will also contribute to improving Information Management processes, working with key stakeholders to enhance data accuracy, standardisation, and compliance with Parliamentary best practices.

Some of the responsibilities for this role include:

  • Managing and coordinating Requests for Information (RFIs) between Strategic Estates and the R&R Programme, ensuring efficient and compliant responses.
  • Working closely with the SE R&R Integration Team to support effective information management and escalate issues when necessary.
  • Maintaining Information Asset Registers (IAR) and Records of Processing Activity (ROPA) to ensure accurate documentation of existing and new IT systems.
  • Engaging with Information Asset Owners (IAOs) and Record Officers (ROs) to improve and standardise content management practices.
  • Supporting data cleansing, mapping, and normalisation activities to enhance searchability and information accuracy.
  • Providing guidance and support on all aspects of Information Management, ensuring compliance with industry standards and Parliamentary policies.
  • Supporting Building Information Management (BIM) processes within Strategic Estates.

Skills and Experience

To be successful in this role you will demonstrate:

  • Strong organisational skills, with the ability to manage multiple tasks and coordinate requests efficiently.
  • Excellent attention to detail, ensuring accuracy in information management and compliance processes.
  • Strong communication and stakeholder engagement skills, with the ability to work effectively across teams and departments.
  • Ability to analyse and document information assets, working with IAOs and ROs to improve content management.
  • Experience using IT systems for data management, with an understanding of information governance and compliance.
