The University of Roehampton is recruiting to the role of Event Coordinator to join our Conference and Events team. As we grow our business across two exceptional properties and support the University on its delivery and strategy for the next five years, we are seeking a candidate who excels in planning and delivering a variety of events, including weddings, private parties, and corporate functions.

This role is ideal for someone with experience in coordination and delivery of weddings and events. The Event Coordinator will play a crucial role in supporting the promotion and sale of all event spaces across the University ensuring each event is delivered seamlessly and meets the highest standards of customer satisfaction. This is a dynamic role that requires excellent organisational skills, a proactive approach, and the flexibility to work evenings and weekends as required.

Key responsibilities will include

To work within a team that is responsible for the promotion and selling of all of the University’s event spaces.

To ensure that events are properly costed, that invoices and other financial documents are prepared in a timely manner, and that the University financial procedures are followed.

To provide administrative support, including the preparation of contracts and invoices for events and tracking of paperwork and deposits from time of booking to post event.

To issue accurate and timely function sheets for all events and to liaise with other University departments as may be necessary to ensure that adequate services such as cleaning, catering, caretakers, and security facilities are available for events.

To aid in the overall marketing and promotion of University conferencing facilities.

The successful candidate will have skills and experience in

Experience in the events industry

Experience of working flexibly within a team and to be able to work independently and collaborate effectively with colleagues across the organisation

Ability to remain calm under pressure whilst delivering outstanding customer service to clients

Organisational ability to manage time effectively and meet deadlines
