What you’ll do:

  • The role will be to assist in the day to day running of the administration/engineering team
  • Supporting the Technical Team Support Manager/Senior Technical Services Manager
  • Collation of Engineer attendance via internal time management system (Kronos) & SAP
  • Using internal CAFM systems
  • Ensuring the timely processing of invoices on SAP/Basware and being the escalation for the accounts team
  • Liaising with TFM’s/GSM’s and other required staff to ensure a smooth running of services across the contract.
  • Adhere to the company and client’s health and safety requirements.
  • Provide cover for other regions where required.
  • Cross checking/ensuring accuracy of quotations and contract change requests.
  • Provide support during and after any internal or external audits.

Essential

  • Enthusiastic, energetic and passionate about what they do.
  • Adaptable and able to work flexibly to suit the workload.
  • Good organisational and planning skills and attention to detail
  • Able to work under pressure
  • Self-starter, with excellent time management
  • Excellent communication skills o Good problem-solving skills
  • Driving License Essential as working on various sites will be required
  • Strong IT skills required

Desirable

  • Prior knowledge of working on a multi-site facilities contract
  • Experience of working with Payroll and Billing systems (SAP, SAGE etc)
  • Experience of working with CAFM systems (Maximo, Evolution etc)
  • Prior knowledge of month end finance collation

Package Description

Administrative Assistant

  • Shift pattern: Monday - Friday
  • Working hours 8:00am - 5:00pm
  • 40 hours per week
  • £12.30 - £12.70 per hour (DOE) + Sodexo benefits
  • Hybrid & working from client sites
  • Clients sites Incl. Central Glasgow, Renfrew, Alloa, Edinburgh. All Travel expenses will be paid.
