Summary

Role: Event Planning Administrator

Hours: Full time - 40 hours per week.

Remuneration: £28,500
Role Description:
Providing comprehensive support for conference and event catering through administrative, design, and planning tasks. Responsibilities include creating allergen-compliant menu guides, designing menus on Canva, managing portal orders, updating stand catering, processing payments, handling billing, and assisting with pricing sheets. The role also supports the sales team with catering sheets, event paperwork, and planning small-scale events, while collaborating with the kitchen to ensure smooth catering operations.
Role Duties:Menu & Allergen Management
  • Collaborate on allergen-compliant menu guides for events.
  • Design accurate and creative menus via Canva.
Internal Portal Management
  • Handle orders and update portal backend (pricing, images).
Payment & Billing
  • Process payments and manage weekly billing.
  • Request and follow up on payments.
Pricing & Spec Sheets
  • Assist with pricing sheets for catering and drink packages.
Sales Support
  • Provide event paperwork and print BEOs, menus, and place cards.
  • Assist with agendas and meeting notes.
Event Planning & Assistance
  • Support small-scale and internal event execution.
  • Coordinate with kitchen and manage event QR codes.
Customer Service & Communication
  • Address client requests and ensure smooth event coordination.
Miscellaneous
  • Perform additional administrative tasks and support during busy periods or events.

What we are looking for:
  • Education: Bachelor\\'s degree in hospitality management, event planning, business administration, or a related field preferred.
  • Experience: 2-3 years in event planning, catering coordination, or a similar administrative role, with experience using Canva for menu design and managing backend systems for catering services.
  • Technical Skills: Proficiency in Canva, Microsoft Office (Word, Excel, PowerPoint), and experience with internal portal systems for managing orders and updates.
  • Administrative Skills: Exceptional organization and attention to detail in handling multiple tasks, including menu guides, pricing spec sheets, and billing processes. Ability to maintain backend systems effectively.
  • Communication Skills: Excellent written and verbal communication for collaborating with teams and clients, with a strong customer service focus in following up on payments and requests.
  • Event Planning: Experience assisting in small-scale event planning, preparing event paperwork (BEOs, menus, place cards), and ensuring materials are ready in advance.
  • Collaboration: Proven ability to work closely with kitchen staff and other stakeholders to ensure smooth event execution, with a proactive team-player mindset.
