Summary

The working hours for this role are Monday - Friday 8.00am -4.00pm, or 10.00am - 6.00pm, term time, plus five weeks in the school holidays.Core Responsibilities• Work with the team to ensure smooth running of the office.• Responsibility for office related documentation, including policies and procedures, ensuring these are maintained to a high standard and updated in line with operational and legislation requirements.• Oversight of information and medicines kept for pupils with specific medical and dietary requirements and dissemination to all staff, together with trend analysis of first aid and medicine administration.• Point of contact for the SLT for admin work required, and delegation as appropriate.• Minute taking when required, including at school Health and Safety Committee meetings.• Booking of training and courses.
• Event administration, including Parent’s Evening.
• Fire Warden duties including evacuation responsibilities.
• Ensure all school office parent communications are proof-read and sent out in a timely fashion.• Oversight of admin support to teachers for school trips.
• Work with the Operations Manager to deliver appropriate performance management for members of the office team.• Manage day-to-day workload issues including school holiday working days with the school office team, with completion and delegation, as appropriate, of office duties as listed below.GENERAL RECEPTION/OFFICE DUTIES INCLUDING:
• Helping parents with general enquiries.
• Registers.
• Answering the telephone.
• Dealing with email inboxes, responding and forwarding as appropriate.• Welcoming visitors.
• Supporting teaching staff with admin tasks.
• Setting up and putting away for events.
• Stock-checks and ordering of stationery.
• Sorting and distribution of post.
• Compiling of the School Calendar and programmes for school events.• Co-ordinating the organisation of the school photographs.
• Arranging after school club bookings for children and amalgamating termly co-curricular club spreadsheets, including communicating to external companies, teachers and parents.• Supporting after care bookings and liaising with the finance team.• Preparing parent forms.
• Organising nursery sessions.
• Co-ordinating school trip bookings.
• Co-ordinating the School Milk provision and paperwork.
• Updating the ISAMs pupil database.
• Arranging of staff catering for after school and special events – communication with Catering & Operations Manager as necessary.• Liaising with the Marketing Team in the production of the weekly Chronicle.• Providing coffee for visitors when requested by members of the SLT.• Undertaking other work at the request of the SLT.
PERSON SPECIFICATION
The successful candidate will have, or be able to demonstrate, the following:SKILLS
Essential
• Excellent verbal, written and numeracy skills with attention to detail.• Excellent communication skills and a positive attitude.
• Previous experience of managing a team.
• Computer literate especially with MS Office packages and databases.• Ability to prioritise workload, possessing excellent time management and organisational skills.• Reliable, flexible and able to work as part of a team. Desirableexperience of working in a school environment
