Salary: £30,500 per annum
Working Hours: Monday – Friday, 9:00 AM – 6:00 PM (45 hours per week)

We are seeking an experienced and professional individual for a dual role as Admin/Front of House (FOH) Concierge. This role is based at one of our esteemed locations in Westminster.
Role Overview:
We are seeking a dynamic and detail-oriented professional to join our team. The successful candidate will excel in providing top-notch customer service while managing a variety of administrative duties. You will be our clients' and visitors' first point of contact, ensuring an exceptional experience. This role demands discretion, maturity, and a proactive approach to problem-solving.
Key Responsibilities:
- Administrative Support:
- Assist in procurement and sourcing processes, including creating Purchase Orders, tracking, and conducting Goods Receipts (GRs).
- Weekly review and reporting of procurement and sourcing status.
- Assist in the creation of monthly HSE (Health, Safety & Environment) and Facilities Management (FM) reports.
- Maintain and update documents and platforms such as seating plans, Emergency Response Plans, and others.
- Manage internal communications, supporting teams and ensuring compliance with corporate guidelines.
- Assist in planning and executing departmental relocations and reorganizations.
- Front of House Duties:
- Provide a warm welcome and deliver top-level service to VIP guests and visitors.
- Manage meeting room bookings, daily briefings, and ensure the readiness of all spaces.
- Oversee and continuously improve services for visitors and staff, including reception, refreshments, cleaning, and security.
- Address and resolve any issues affecting service delivery promptly.
- Ensure monthly statistics are recorded and up to date.
- Team Leadership & Compliance:
- Lead and manage the concierge team, providing training and support where necessary.
- Ensure compliance with client objectives, policies, and procedures.
- Act as the point of contact for the concierge team during evacuations and emergencies.
- Serve as a fire warden, leading evacuation processes and liaising with the client’s incident commander.
- Health, Safety, and Environment (HSE) Responsibilities:
- Comply with the HSE objectives defined by the client.
- Manage information and assets by the client’s Information Security User Standard.
- Actively participate in emergency procedures, including communications and coordination with first aiders and external entities.
- Required Qualifications & Skills:
- Experience: Minimum of 2 years in a similar role, preferably within a high-end or corporate environment.
Skills:
- Excellent communication skills, both written and verbal.
- Proactive, energetic, and able to work under pressure.
- Strong organizational skills with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Ability to lead and motivate a team, with experience in training and development.
Preferred Qualifications:
- Experience in facilities management, procurement, or HSE roles.
- First Aid certification or willingness to volunteer as a first aider.
