Summary
The job holder will work with the Medical, Admin and Nursing Recruitment assistants within the CSU and cross cover for any leave. This will include covering any aspect of the recruitment process, including answering queries in the absence of the Recruitment Assistants, assisting in covering any long term absence if needed, assisting the team when there is a surge in recruitment requests, monitoring vacancies and ensuring timely appointments in to posts. To produce the weekly and monthly rosters for all medical staff. To assist the Senior Rota Coordinator and Business Managers in providing effective medical cover within the CSU. To assist the Senior Rota Coordinator and Business Managers in maintaining the medical staff rotas, reviewing the workload of the group and coordinating support. Assist the Senior Rota Coordinator and Business Managers in ensuring adequate cover for annual leave and sickness within budgetary limits. Keep a check on all medical staff sickness and assist in administrating the Trust sickness policy, alerting the Specialty Lead and Specialty Manager of those individuals who require interviews in line with the sickness policy. Ensuring that annual leave and study leave are approved, policies are adhered to and meet. Ensuring appropriate cover is arranged for medical staff leave by ensuring internal cover is arranged where appropriate. Booking of bank doctors via Medical deployment where appropriate authorisation is received. When no cover is available, the coordinator is responsible for advising the Medical Team, Senior Medical coordinator and Business Manager in good time so that the appropriate action may be taken. Coordinating the induction and training of new and temporary staff with Recruitment Assistant. Monitoring doctors compliance with appraisals, resus training and other core skills training. Ensure medical staffing are aware of and follow all departmental and Trust policies as well as fulfilling their own responsibilities under those policies. Ensure correct documentation is issued to other departments notifying when doctors are joining, leaving or changing their circumstances within the CSU. To act as a source of communication between management and junior doctors. To check timesheets for all doctors and locum doctors prior to payment, ensuring hours claimed are correct and passed against correct budget headings. Ensure that all timesheets are dealt with in a timely manner according to the Trusts protocol. Working closely with Medical Deployment team for covering gaps within the rota. Rotas to be completed and uploaded six weeks in advance with the support of the Senior Rota Coordinator and College Tutors and to maintain the basic grade/ trainee rota and identify any problems to the Business Managers The post holder will have line management responsibilities of administrative staff and will support their team to ensure optimal performance and professional development. HR Responsibilities Implement trust attendance management policy and maintain records for all staff. Manage staff annual leave, sickness absence, capability and staff grievances with support as required. The job holder will manage junior medical staff leave allocation, and maintain a system throughout the medical directorates for the recording of junior and middle grade medical staff annual leave, study leave and sick leave. They will work closely with the medical education department to ensure training records accurately reflect annual leave, study leave and sickness taken and pass the information required to their next rotation. The job holder will ensure that all junior and middle grade medical staff within the CSU complete induction and competency based assessment through agreed processes with the speciality teams. Responsible for the appointment of short and medium term external locums to provide cover where required, often at short notice within agreed guidelines. Ensure that all avenues are exhausted prior to locum staff being organised to reduce unnecessary expenditure. The job holder will assist on the management of all junior medical staffs appraisals in co-ordination with consultant medical staff to ensure all junior medical staff are appraised by their consultant. Line management responsibility for administrative staff. Undertake staff appraisals and compile personal development plans in accordance with the trust policy. Provide support for staff in undertaking continuing personal development opportunities. Financial Responsibilities The job holder will work without supervision and will be expected to take independent decisions relating to the booking of locums. Managing and ensuring the trust is adhering to the constraints of the agreed locum budget for medical staffing. Policy and Service Responsibilities The job holder will be expected to work under their own initiative and secure locums with the agreed Operational Policy for the CSU. Identify rota gaps and work with Senior Rota Coordinator, consultant medical staff, Business Managers and Human Resources to ensure rotas provide adequate cover at all times. Arrange rota swaps as required to ensure gaps in rotas are filled from existing staff wherever possible. The job holder has the responsibility for ensuring that all junior and middle grade staff within the Division complete and submit their competence assessment within two weeks of commencing in job. She / he will follow up non-compliance in conjunction with the responsible consultant. Following and maintaining with the collaboration of Medical Staffing the recruitment process of additional medical staff that maybe required for long term gaps. Establish and maintain effective training plans to ensure that staff follow correct policy and procedure and respond to developments in the service Origination of the local Induction ie: venues and refreshments. Ensuring all junior Doctors attend and providing them with IT logins, ID badges swipe cards and uniforms. Responsible for ensuring adequate Doctor cover for the on-call rotas. Responsible for escalating areas of concern and potential solutions to the senior management and executive team. High levels of responsibility as sole point of contact for senior management team to have oversight on rota gaps, demand and supply, providing regular reports of all medical rota gaps to the executive team highlighting risk areas and mitigations.
