Summary


We are looking for an enthusiastic, well-motivated team member to provide secretarial and admin support to the Dermatology and Rheumatology Nurses department based at Clifton Hospital. Excellent written, verbal, organisational and communication skills are essential, as is the ability to work within a team, on your own and to use your own initiative. A degree of flexibility is required for this role as you will be supporting both the Rheumatology Nursing team and the Dermatology team.

The successful applicant will support the Dermatology team Monday-Wednesday, and the Rheumatology Nursing team Thursday-Friday.



The successful applicant should be computer literate with a good understanding of all of the Microsoft packages. The ability to undertake audio typing/proof reading using the G2 dictation system would also be preferable.

The successful applicant would be expected to provide cross cover in the event of annual leave or sickness absence and this will include answering telephone calls, nurses admin, emails, post etc. A flexible, friendly approach is essential to this role.

1. Open and distribute all correspondence received into the department, ensuring all referrals received into the department are given to the appropriate staff to triage.
2. Ensure all referrals are triaged and sent to the appointments team in an efficient and timely manner for the appointments to be booked.
3. To provide a comprehensive audio typing service and voice recognition using the G2 system, ensuring departmental typing targets are met, all is prepared for signature promptly and of a high standard and documents are filed correctly in the case notes.
4. The retrieval, return and correct tracing of patient case notes.
5. Deal with incoming calls from external stakeholders, as well as making outgoing calls as and when required in an efficient, tactful and diplomatic manner, ensuring that any messages/information are passed on quickly and accurately.
6. Patient appointment management.
7. File patient investigations and correspondence.
8. Provide cross cover for annual leave and sickness to ensure the smooth running of the service.
9. General office administration for the needs of the service.
