Summary

The Organisational development service is looking for a highly motivated applicant who is confident working in a highly adaptive environment. Unlike other administrative roles the work of the OD service regularly adapts to the needs of the organisation with periods of high delivery and variable demands. Over the next year the OD service is looking at moving increasing amounts of it’s work into digital online offers with close monitoring of the impact of OD’s work. Therefore IT and data management experience is essential for this role.Additionally this role is an introduction to OD professional experience with job holders supporting interventions with teams and the organisation on priorities linked to culture change and teamworking improvements. As such we are looking for someone who is comfortable with engaging colleagues of all professions and has a keen interest in behavioural science (why people do what they do). The ideal applicant is one who has high levels of self awareness and can demonstrate emotional intelligence necessary for working in complex team environmentsJOB SUMMARY
The Organisational development coordinator role is to support both in the coordination and delivery of Organisational development service priorities.

Coordination aspect of role will be to oversee, manage and deliver administration of development programmes, interventions, events and training courses, delivered as part of the Trust Leadership, Culture and Inclusion objectives. This includes data management, reporting, design and maintaince of administrative processes and resource management, as well administrative support for OD colleagues

Delivery aspect of role will be to support engagement with NUH colleagues in aspects of leadership and culture development. This includes facilitating conversations, focus groups and OD team interventions.

KEY JOB RESPONSIBILITIES

Coordination responsibilities
1. Provide an efficient and comprehensive project and administrative support service to the OD Team, to assist in the planning and delivery of agreed project deadlines and events.
2. Support the OD Team managers to track progress against plans, reporting any variations and proactively contribute to implement solutions.
3. Deliver proactive support to the OD Team managers and complete individual work on projects (both solely and in a supported capacity) as required.
4. Intelligence gathering (qualitative and quantitative) for example, to support operational performance reporting and improvement report and other
5. Work flexibly and adapt to situations as they arise using judgment and initiative to make informed decisions, in line with flexible working arrangements
6. Plan and organise own time and able to make decisions on the prioritisation of their own workload and of the admin team
7. As a member of the admin team, act as a point of contact for enquiries for projects and events from all internal and external stakeholders and have the autonomy to make decisions on behalf of the team as necessary. Preparation of reports, flow charts, presentations and other project documents.
8. Take a central role in communicating information regarding projects/work programme or activities to a range of audiences, including maintaining and updating information displayed on the Trust website, intranet and social media and internal communications.
9. Ensure organization of meetings and events for projects (both virtually and physically), which may include co-ordination of venues and speakers, helping to prepare supporting information and documents, creating agendas and taking minutes.
10. Maintain project information systems and produce documents and regular ad hoc reports as required.
11. Support the OD Team with meeting the People Plan and Key Performance Indicators (KPI’s) related to strategic aims and goals
12. Collect, collate, record and analyse data and support evaluation of OD activities.
13. Support OD surveys, which could be via on-line portal, face to face or on paper.
14. Support the development of departmental or Trust wide policies and procedures and lead in the development of OD SOPs.
15. Monitor project progress and support project administration as required
16. Communicate with key individuals and use negotiating/persuasive skills to gain solutions, using own initiative.
1. Maintain constructive relationships with a broad range of internal and external stakeholders, delivering any routine presentations as required.
2. Plan and organise own work and that of the admin team to meet set deadlines managing, at times, any unpredictable work patterns as best as possible, being adaptable to priority requests.
3. Maintain an active knowledge of the projects, roles and objectives.
4. Suggest and support improvements to current management information, analysis and reporting to enhance decision making processes
5. Develop knowledge and keep updated of relevant national/local strategies and policies and local improvement programmes.
6. Regularly use IT systems such as Microsoft Office, Microsoft Word, Microsoft PowerPoint and in-house Trust systems to manipulate data to produce key reports in a variety of different formats
7. Manage the ordering process for the OD department adhering to the local financial perimeters set out within the department or Trust wide if applicable.
8. Support the procurement process for relevant projects
9. As required, line management of members of the admin team.
10. Carry out training as required, both as a learner and to other learners in the team about new Standard Operating Procedures/ Policies; use of new software, ICT applications, electronic devices
11. Undertake any other reasonable request.

Delivery responsibilities
1. Support delivery of training (virtually and face to face), including technical support for virtual training.
2. Support team development facilitation
3. Engage NUH colleagues in culture development work (e.g. co-running focus groups and team conversations with OD team members)
