Summary


We are looking for an individual who will provide an effective and efficient administrative and secretarial service to the Renal, Transplant and Urology directorate within an environment of continuously developing demands. This will require the use of excellent interpersonal and communication skills in dealing with patients, relatives, senior clinicians, work colleagues and external organisations.

The post holder will support the Clinical Director, Directorate Manager and Matrons in making full use of time, hospital systems and of IT. Managing multiple tasks to deadlines is an essential part of the role.

The post holder will be the key point of contact for the Renal, Transplant and Urology Directorate, reporting to the Directorate Manager (DM) and providing support to the DM, Matrons, Clinical Director and Clinical Leads to ensure the efficient and effective day-to-day running of the Clinical Directorate.

To support the Directorate Manager, Matron and Clinical Director in the development and maintenance of Directorate projects, policies and processes and the implementation of the directorate's strategy strategy.

Provide PA administrative support to the Clinical Director, Directorate Manager and Matrons including co-ordinating performance reports, diary management, organising meetings with senior staff members as requested and ensuring relevant papers are available in advance of meetings
• Collate and bring together performance reports for the directorate. These include performance against Key Performance Indicators, governance statistics and, theatre efficiency
• Co-ordinate and attend monthly Directorate meetings in liaison with the relevant meeting Chair: Prepare and distribute agendas and notes of the meeting, minute meetings and proactively administer action logs to track actions and ensure their completion in timely manner.
• Act as the main point of contact for all complaints for the Directorate. Ascertain which CSU/area the complaint is regarding and the key people which need to investigate and respond and send out accordingly. Ensure all key points have been addressed and draft a response
• Minute taking of meetings and co-ordination and minute taking of individual staff performance reviews/ disciplinary meetings
• Support Matrons and their deputies with investigations and related administrative duties
