Summary


The main duties of the role will be to act as a Ward Clerk supporting the ward nursing team as directed by the senior nurse on duty.

MAIN DUTIES

· Answering the telephone, dealing with general enquiries and relaying messages.

· Greeting all patients on admission, taking them to the bedside or a waiting area and informing nursing staff.

· Administration duties for a patient’s admission :

- preparation of notes for emergency/planned admissions/transfers

- obtaining notes from the relevant hospital Department

· In conjunction with medical and nursing staff, take the lead to maintain patient’s notes in a reasonable order, filing loose notes, and other documentation appropriately.

- Preparing documentation e.g. prescription, discharge form, transfer form

- liaising with Outpatients Departments / medical secretaries

- Booking routine ambulance / transport if required (not Paramedic transport)

- Collating notes on discharge and conveying them to the appropriate secretary/coding department

· General administration duties including filing photocopying, opening mail, faxing information and preparation of notes trolley for the ward rounds.

· Monitor & update the electronic patient transfer system. Non- clinical CERNER EPR.

· Discharge details on the computer system or fax as per Trust policy/ protocols.

· Arranging Porters for transporting patients, notes etc to other Departments.

· Transportation of notes, messages to other Departments, including Pharmacy and General Office.

· Ensure that Trust policies / procedures are adhered to.

· Maintain stationary stocks and ward provisions as per ward protocols.

Ward C6 is a 26 bedded acute medical ward with a particular interest in Respiratory Medicine. The ward has general physicians who specialise in Respiratory Medicine.

The team is led by a dedicated Band 7 Ward Manager who is committed to providing high standards of safe, personal and effective care at all times in a calm, reassuring and caring environment.

Ward C6 is looking to an appoint an enthusiastic, flexible and hardworking individual with excellent communication skills who can support the ward manager and ward team by undertaking a key administration role.

KEY FUNCTIONS

- Maintain privacy and dignity for all patients at all times.

- Acts as ward navigator (1st point of contact).

- Be responsible for the administration duties on the ward area.

- Ensuring the Electronic Patient Transfer System is monitored and kept update

- Assist with the inputting of ward data collected through audit processes

Communication

The post holder will be expected to:

· Understand and maintain confidentiality according to Trust policy.

· Attend Ward meetings as agreed with the Ward Manager.

· Maintain harmonious relationships and communicate effectively with all members of the multidisciplinary team and with other Departments within the Trust.

· Report any complaints by patients, relatives, other staff and members of the public to senior staff.

Training and Development

The post holder will be expected to:

· Take part in Trust training and development.

· Participate in the Personal Development Review process and together with the Reviewer formulate a Personal Development Plan.

· Assist with the induction of new staff.
