Summary

• Office operations including day to day admin tasks, such as organising electronic & paper files and handling correspondence.
• Sales support including assisting the sales team by generating sales reports, preparing sales presentations and maintaining customer databases. Responding to customer inquiries, following up leads, preparing and following up quotations, always providing excellent customer service with a positive attitude.
• Purchasing and inventory including sourcing suppliers, obtaining quotes and placing purchase orders. Monitoring of inventory levels and ensuring timely delivery of goods along with progressing purchase orders and processing purchase invoices.
• Acting as coordinator to small sales team ensuring communication channels are maintained effectively within the department, with customers and with suppliers including cover for team members holidays.
• Assist with various office projects and tasks as assigned by management.
• Record keeping including maintaining accurate records of sales data, purchase orders and other relevant documents.
• Problem solving and decision making identifying and resolving issues, anticipating potential problems and making informed decisions to support the department.
• Technology and communication proficiency utilizing Microsoft office suite (Word, Excel & Outlook) to create and manage documents, spreadsheets and presentations. Using CRM software and inventory management software on our Intact computer system.
Requirements: Using phones and emails requires an excellent command of both written and spoken English. Interest or knowledge in engineering products or processes along with prior experience in a similar role would be preferred.
