Summary


MAJOR TRAUMA SERVICE- NMTR COORDINATOR

Substantive 1.0 WTE (37.5 HOURS)

The post holder will play a key role in the coordination of data for Southmead Hospital which is the Adult Major Trauma Centre (MTC) in the Severn Major Trauma Network. Ensuring that clinical information from patient records of all major trauma patients admitted to this MTC is extracted, interpreted, and submitted in line with national deadlines, guidance and requirements for the National Major Trauma Registry (NMTR). The MTC is part of the Severn Major Trauma Operational Delivery Network and therefore there is a supportive component to the extended Trauma Units and Children’s Major Trauma Centre which are within the Severn network.

This post also requires providing efficient and timely administrative duties to the Major Trauma Centre (MTC) Management team and Major Trauma Practitioners (MTPs). The Major Trauma Service delivers a 7-day a week service and therefore the post holder may need to be part of occasional weekend cover as part of a rota

• Supporting the Major Trauma Service and the NMTR Team with administration duties

• Answering the phone

The Major Trauma Service is a dynamic friendly team of professionals who strive to give the best care to patients affected by major trauma. Southmead Hospital is the regional centre for major trauma care serving the Severn Major Trauma Operational Delivery Network.

Main responsibilities:

Data and information

• To provide administrative support to the MTC senior management team and MTPs at the MTC, ensuring accurate collection of data for all major trauma patients, in preparation for and submission of data to NMTR.
• To ensure that all NMTR eligible patients’ details are entered submitted within 25 days of discharge to ensure that the MTC is able to be eligible for Best Practice Tariffs.
• Identification, using the NMTR inclusion criteria, of patients admitted to the Trust with major trauma injuries and subsequent completion of data submissions via electronic data collection and reporting system.
• To interpret and consolidate information from multiple sources to ensure a complete and accurate patient records on the MTC database and NMTR.
• To support the clinical team to identify all relevant major trauma episodes using various systems including Emergency Department admissions, transfers, etc. and inputting details onto the major trauma tracking database.
• To examine patient records, extracting relevant information and investigating where necessary, following the patient pathway from injury to discharge.
• To be aware of all aspects of the data set required and ensure completion of any missing data.
• Identify and resolve any discrepancies in the data, escalating system errors or queries appropriately.
• To liaise with other hospitals as necessary to retrieve required information.
• To work closely with MTPs to ensure accuracy of data.
• Communicate regularly with other members of the NMTR team regarding data submission.
• To produce regular and ad hoc reports using information from different systems and databases including NMTR system and the MTC Trauma database.
• Dealing with requests for NMTR data from clinicians and other hospital staff.
• Any other duties relating to the NMTR requirements.

Administration

• Receive and act on telephone and email enquiries to the Major Trauma Service, including handling incoming calls from patients and relatives in a confidential and sensitive manner.
• Organise meetings and take minutes or notes as required.
• To undertake any necessary filing, scanning, photocopying and other administrative duties to ensure the efficient running of the service.
• Provide administrative support to the MTC team as required.
• Provide administrative support to service development and patient experience projects as required.

General Responsibilities
• Works closely with the MTC Support Coordinator to assist in projects to improve the patient’s care pathway.
• The post holder will need to develop a working relationship with a number of key stakeholders within the NMTR team and external NMTR coordinators including the Network Lead NMTR Educator.
