The Role:

We are actively seeking a dynamic and passionate Bid Administrator to join us in a pivotal phase, contributing to the success of our work-winning tender process.

This full-time office-based role, spanning 37.5 hours per week, Monday to Friday, invites the successful candidate to integrate into our warm and supportive team at our Maidenhead office. Moreover, we offer a flexible working model, allowing for a hybrid arrangement of 3 days in the office and 2 days working from home.

Under the guidance of the Senior Business Coordinator, the Bid Administrator's mission is to delve into the intricacies of client quote requests, swiftly and accurately devising Intelligent Data’s methods to achieve them. As you undergo comprehensive training and gain proficiency in our tailored data collection methods and dedicated platform, your role will evolve to encompass the meticulous construction of tenders tailored to each unique project.

As your knowledge expands, you'll directly engage with clients, understanding their specific requirements, offering valuable insights, and contributing to the overall process of securing projects. The agile nature of Intelligent Data's model may also call for your flexibility to assist other support roles, providing you with a comprehensive view of company operations and additional avenues for personal and professional development.

The Bid Administrator plays a crucial role in our organisation's tendering process, contributing to our success in securing new business opportunities. We are seeking a detail-oriented and proactive individual who can thrive in a fast-paced environment and effectively manage multiple priorities. Key Responsibilities:

* Receiving, processing, recording, and tracking all incoming tenders to ensure timely response and adherence to deadlines.
* Taking ownership of internal tender/outcome tracking systems to maintain accurate records of submissions and outcomes.
* Maintaining all tendering portals with up-to-date company information/documents to enhance our competitiveness and compliance with tender requirements.
* Supporting the bid team with administrative tasks such as accurate document preparation, formatting, and distribution.
* Assisting in the development and improvement of bid processes and procedures to enhance efficiency and effectiveness.
* Communicating effectively with internal and external stakeholders to ensure information alignment and timely execution of bid-related tasks.
* Building and managing client relationships, driving exceptional customer service through any communication interactions.
* Upholding confidentiality and professionalism in handling sensitive bid information.
* Assisting the Senior Business Coordinator with ad-hoc tasks.

Requirements:

* Exceptional written and verbal communication skills
* Strong organizational and planning abilities in a fast-paced environment
* High IT literacy, especially in Outlook and Excel
* Sharp analytical skills with keen attention to detail
* Customer service prowess
* Capability to work independently and collaboratively within a team
* Previous experience in a professional office role or holding a business-based degree is preferred.
