Support other clerical and clinical staff in the dermatology department

Support initiatives which enhance efficiency of the service in order to improve productivity of the service

Under the supervision of the Dermatology team by receive, record, analyze and prioritize telephone/personal messages from patients, relatives, general practitioners, consultants, other healthcare professionals and external organization's on behalf of the clinical team e.g. on appointments and diary commitments

Establish and maintain efficient office systems, including filing systems and Order and maintain office supplies and stationary

Be responsible for safe use and basic maintenance of office equipment and machinery, reporting faults and arranging for repair as required

Receive record and prioritise incoming and outgoing post, both paper and electronic. Retrieve and act upon correspondence received by fax or e-mail

Book patients into clinical appointments including minor skin surgery procedures upon request ensuring clinics have capacity. Ensure patients are informed of any changes to minor operation appointments

Our Dermatology services are spread across the Royal Blackburn and Burnley general hospital.

There is opportunity to offer flexible working arrangements where services allow.
1. Ensure all queries from colleagues and external organisations are dealt with quickly and effectively in the department, producing file notes as necessary.
2. To adhere to agreed policies, procedures and protocols.
3. Ensure the smooth running of the office and inform nursing staff of any difficulties regarding patient details.
4. Deal with incoming correspondences as appropriate.
5. Photocopying, general office duties and the use of CERNER .
6. Book in and book out notes to other departments using the ELHT tracking system.
7. Arrange hospital transport as necessary
8. Cancel and rebook treatment room/minor operations/PDT appointment/phototherapy appointments, liaising with patients and any relevant Trust personal.
9. Ensure shared knowledge within the team.
10. Respond to telephone calls from anxious and distressed patients, taking messages and resolving problems when possible, in a professional and competent manner.
11. Take minutes at staff meeting as required.
12. Keep up to date with technological developments with regard to developing appropriate skills in the use of current office technology. g. word processing, spreadsheets, databases, electronic mail, presentations etc.
13. Maintain and encourage safe working practices and environment in accordance with local Health and Safety Policies.
14. Organise the office efficiently in a complex, changing environment.
15. Manage multiple tasks ensuring deadlines are met.
16. Communicate appropriately with a range of people at different levels of the organisation
17. Be flexible, self-motivated and work with minimum supervision.
18. To participate in reflection, self evaluation and continuous professional developments including performance review.
