About you

Are you self-motivated and detail orientated? Do you like working as part of a team? Do you enjoy a busy environment? We’re on the
lookout for someone who loves organising events to join the fundraising team at The Glasshouse, and help us raise much-needed
funds for our charitable work. We need someone who's not just organised and meticulous, but also outgoing and enthusiastic.




There’s never a dull day when it comes to events. From planning to execution, you'll be the heartbeat of our fundraising events
operation, ensuring everything runs like clockwork and we deliver events that impress. If you're ready to dive into a fast-paced,
collaborative environment where enthusiasm and teamwork reign supreme, we'd love to have you on board. Events are vital to our
fundraising team as they give us a chance to engage with our supporters - from members, to corporate contacts and major donors.
You’ll be working on everything from backstage tours and networking drinks, to supper clubs with headline classical artists.



Here are some specific types of experience and skills we’re looking for:


* Top organisation skills. Good admin is the backbone of this job, from managing invites and RSVPs to writing event briefings. If
you love admin, this is for you.
* Someone with the confidence to plan logistics and manage events on the ground, making sure everything runs smoothly.
* Top-notch communication and interpersonal skills, enabling you to build rapport with colleagues across the organisation and
external providers.
* A confident copywriter and happy to crack on with logistics behind the scenes.
* A forensic eye for details - big and small.
* Team work makes the dream work: a willingness to work collaboratively with colleagues and suppliers to get the job done to the
highest level.
* A problem solver who looks for creative solutions when met with a challenge - and we’ll be there to help, too.
* Lots of our events happen around concerts in the evenings so a willingness to work out of traditional working hours, including
weekends and evenings is a must. You’ll get the time back in lieu.
* Comfortable and competent using Microsoft Word, Excel and Outlook.



It also helps if you have

* Previous experience in event planning or coordination, preferably in a similar role.
* An understanding of what fundraising is about, and how it supports places like The Glasshouse.
* If you have experience of using CRM systems that’s great, but don’t worry if you don’t, we’re happy to give you some training.
* Confident in basic design on PowerPoint, Canva or InDesign would be an advantage.
* The Glasshouse is the place where music lives and grows, if you have a passion for music, you’ll fit right in.


About the role of Development Events Coordinator at The Glasshouse

Your responsibilities:

As the Development Events Coordinator, you’ll be a key member of the fundraising team, making events happen for supporters and
stakeholders inside and outside our building. You’ll work closely with colleagues across the organisation, to make sure our events
go off with a bang and make a lasting impression on guests.

Here are the key day-to-day responsibilities:

* Manage all admin-related events tasks, like guest lists and booking suppliers.
* Lead on set up and logistics for internal and external events.
* Draft invites and send them out using MailMerge and Microsoft forms to track RSVPs.
* Take charge of who gets what invite by keeping on top of guestlists.
* Compile detailed and accurate event briefing notes.
* Take a lead on our events overview for the year ahead.
* Represent the fundraising team at internal events meetings.
* Use our CRM system, Tessitura, to log all of our event-related admin.
* Log event budgets and manage invoicing.
* Other development related admin tasks as required.
