Summary

About The Role

At OCS Group, we are recruiting Assistant Site Manager who can support the coordination of facilities service delivery and to support the OCS Site Manager in the provision of building services and ensure the safe operation, profitability, and efficiency of all services. You will be working Monday to Friday, 08:00 to 16:00, on a permanent full-time basis; 37.5 hours per week. Main Duties and Responsibilities:
  • To ensure service delivery is compliant with contractual and legislative requirements, company procedures, and customer requirements. To support and in the absence of the site manager lead a team of onsite employees and contractors to provide a fully integrated service to the contract.
  • Support in effectively managing all operational teams through effective recruitment, training, and performance management.
  • To provide support and assistance to the Site Manager with the management and timely completion of reactive and planned maintenance tasks in line with contractual SLAs.
  • Request quotes and issuing of purchase orders to suppliers, arranging sub-contractor attendance where required, and onsite coordination of those sub-contractors.
  • In the absence of the Site Manager, be the first point of contact for the management of OCS service delivery to clients.
  • Support the Site Manager, ensuring due compliance to the contract specification and in the provision of reports for our client representative and OCS management teams on all aspects of service delivery.
  • Ensure that risk assessments, safe systems of work, and COSHH records are held centrally on the contract for all working practices.
  • Issue and manage site permits when required in line with company guidance.
  • Undertake regular audits of all service areas complete Safe Site Inspections with staff and manage the reporting of accidents, incidents, and near misses in line with company process.
Quality of Service Delivery :
  • Oversee quality performance on the contract concerning Maintenance, Cleaning, Catering, and security.
  • Maintain and monitor agreed quality systems, ensuring preventative and remedial actions are taken where necessary as laid down in the contract specification.
  • By daily personal inspection, ensure that the scope of the contract is being correctly delivered and that service standards are maintained and improved, taking remedial action where necessary.
  • Support in the management and motivation of the teams and external contractors to provide a quality, customer-friendly service at all times, in line with the partnering ethos/culture.
  • Monitor customer feedback and respond to customer comments and staffing levels to ensure adequate cover whilst maximising profitability.
Continuous Improvement:
  • By using a continuous re-appraisal system, support the Site Manager in regularly reviewing and recommending potential service improvements and/or cost savings to Management.
  • Adopt a pro-active, innovative approach in recommending improvements and changes to the service where considered to be cost-effective.
