Summary

Support the Risk Management & Patient Safety Team to ensure that the business portfolio of tasks/projects is planned, managed, and delivered effectively thus contributing to the Trusts governance process. Work autonomously on defined low risk projects as identified by the Head of Risk Management & Patient Safety, providing project planning and management support and support the risk management team on higher risk projects. Ensure accurate and open communication and co-ordination with a range of organisations, internal clinical and corporate services and individuals. Research resources and draft documents and correspondence as required. Be a proactive member of the team, supporting the Head of Risk Management & Patient Safety and Director of Quality Governance and wider Risk Team in delivery of all work-streams, as required, as well as supporting effective communication and stakeholder management, both internally and externally. Work in partnership with others and as part of cross Borough teams to deliver successful outcomes. Support the organisations ways of working, mission and strategic objectives. Responsible for delivering project tasks, where support is required and for delivering specific project activities. Contribute to the identification and analysis of programme/project risks, escalating risks as and when required. Develop, maintain, and update the Trusts Risk Management system, Risk Management shared drive, database and website resources in accordance with agreed processes and standards. Create and maintain all Risk Management Team records, management systems and reporting systems. Take responsibility for specific tasks such as Patient Safety Incident Response Framework & Learning Panel (PSIRFaLP), planning and coordination, Trust wide improvement plan agenda planning, CQC evidence collation, Improvement Plan evidence collation log. To be responsible for the organisation and coordination of work plan submission to external partner and commissioner. Management of action plans, action logs and project risks. Coordinate Patient Safety Incident Response Framework & Learning Panel meetings and document minutes of meetings as required, as well as follow up such as chasing actions, papers and updates. Draft briefing reports, draft letters of correspondence, arrange events and meetings, and produce papers for such meetings. Follow up actions from meetings, holding managers and staff to account for providing updates as required. Undertake and analyse surveys related to projects. Assist with producing programme and project status reports. Assist with developing, preparing and distributing plans and reports. Provide general administration support to the Risk & Patient Safety Team. To develop and deliver training materials regarding Risk Management & Patient Safety. Prepare to undertake and complete tasks outside of the job description on an as required basis in response to business demands. Support the Head of Risk Management & Patient Safety in the management of the Trusts arrangements to implement the Patient Safety Response Framework (PSIRF) and Learning from Patient Safety Events (LFPSE) Service. Support the Well Led agenda by supporting the Risk & Patient Safety agenda, this will include development of Risk Management newsletters, TOR, taking part in meetings with commissioners and minutes as necessary. Provide support to the compliance process with regulatory requirements including CQC reporting; collate and communicate business sensitive information as required. Collate information on the latest health related publications that impact on the Trust and can feed into Trusts soft intelligence for business. Collate and circulate electronic information bulletin with the latest publications of DH, NHS Improvement, Kings Fund and other resources to the Borough Management Team and other Service Managers. Support the Governors engagement agenda by providing a succinct summary of Board meetings for the Governors. Link with Trust initiatives (e.g. OD and Staff Engagement programmes) and when needed facilitate effective liaison with colleagues at all levels, including senior staff within the organisation, as well as supporting communication and positive relations with all stakeholders within NHS and partner organisations.
