This post is an administrative role working for the Probation Service across the North East region with two NHS partners who are jointly commissioned to deliver on the Offender Personality Disorder (OPD) strategy. The post holder will report to the Senior Administrator within the partnership. Travel between office locations in the NE will be required.


New entrants to the Civil Service will be expected to join at the entry point salary for the advertised band

Existing Civil Servants will have their salary calculated in accordance with the Department’s pay on transfer / pay on promotion rules.

This post is currently advertised without VISOR Vetting to enable appointment to take place as soon as possible, however, VISOR vetting will be required to be completed in due course.

NE Probation Region Job Role

Overview

This post is an administrative role working across the North East region with two NHS partners, who are jointly commissioned to deliver on the Offender Personality Disorder (OPD) strategy. The post holder will report to the Senior Administrator within the partnership.

The purpose of this role is to help ensure the efficient and effective running of OPD work streams, providing a full set of business support services by the collection and recording of activity and data. The job holder will undertake a variety of specific activities and duties as identified by their line manager, for which they will be held personally accountable, commensurate with their grade.

Duties include:

Maintenance of documents, reports, databases, rota’s and registers using computer-based systems;

Use of data to report on

Contributing to the continuous improvement of administrative systems, processes and workflows to ensure the partnership operates at its optimum level.

Responsibilities, activities and duties Management support

Development and implementation of the business administrative systems, databases, recording processes and recording systems to support operational delivery

Preparation and collation of a range of documentation for a variety of purposes to support effective business activity and operational application of interventions

Maintaining registers, inputting data, monitoring and updating as necessary

Ensuring timescales are adhered to for reporting and communication purposes

Liaison and the development of effective working relationships with external organisations, agencies and colleagues

Performance Management

Respond to internal and external requests for performance monitoring information, training or support at a PDU level as directed by the performance lead

Liaise with team members to receive, collate and analyse information

Allocation of data entry tasks and quality assurance of support staff to ensure cost effective and efficient use of resources.

Use communication effectively

Develop productive working relationships with stakeholders

Contribute to team and organisation's understanding of it's stakeholders and customers

Taking and distributing accurate minutes from meetings in a timely fashion

Providing information, feedback and advice to colleagues

Influencing and persuading

Participate in Cluster meetings to present and explain data to NPS colleagues, using appropriate skills, styles and approaches

Support the communication function using flow charting techniques and recommending opportunities for improvement
