Summary


The Access to Health Records Department is responsible for responding to subject access requests (SARs) from patients, solicitors, Police, and other agencies requiring copies of patients’ health care records in a timely manner in line with the Trust’s Health Records Policy and the General Data Protection Regulations (GDPR) 2018.

The post holder will work as part of a small team, under the supervision and management of the Health Records admin Manager, ensuring all enquiries are responded to by maintaining a central electronic record of requests, accurately accessing and providing copies of health records in a selection of medium (e.g. paper copies / digital files) ready for dispatch, and communicating with requestors by telephone and/or email.


• To ensue accurate downloading of digital records if required in electronic format from the applications available to the Band 2
• To assist the Access to Health Officer by date stamping all requests received by post and completing the front sheet before passing to the Officer for checking before inputting on the portal.
• Updating Portal following an action on each SAR
• Completing and date stamping private insurance forms and pass to Officer for signature.
• To take phone calls and assist colleagues and members of the public with their enquiries regarding matters relating to Access to Health.
• Checking documents to ensure only data relating to the patient whose notes have been requested is released to the requester.
• Collect and deliver the post to the post room daily.
