Summary

Executive Assistant
Are you a pro-active and highly organised professional with a passion for providing top-tier executive support in a dynamic global environment? We are looking for a talented Executive Assistant with significant experience to provide first class support to the Vice President Commercial Operations Region Central Europe, Canada & South Africa.

As an Executive Assistant, you will play a pivotal role in supporting the Vice President in their day-to-day operations, ensuring seamless communication and coordination across our locations in Central Europe, Canada & South Africa. You will be responsible for managing complex calendars, arranging international travel, preparing correspondence, and handling confidential information with the utmost discretion.

We require a problem solver who is comfortable with a fast-paced working environment and has a confident manner, discretion, tact, and a high level of confidentiality, plus the ability to maintain working relationships at all levels.

This is a full-time of 37.5 hours, hybrid working role with ad-hoc requirements to attend our head office in Huthwaite, Nottinghamshire, working Monday to Friday, 9am - 5pm.

What does the role involve?

You will be responsible for the below alongside other duties:
• Provide comprehensive executive support to the Vice President Commercial Operations Region Central Europe, Canada & South Africa.
• Act as a central point of contact for internal and external stakeholders, maintaining effective communication and responding to inquiries in a timely manner.
• Help to improve efficiencies through effective organisation, support, and project coordination.
• Diary management: complex diary management across multiple time-zones, arranging meetings, internal and external.
• Producing and circulating minutes, actions, decisions to relevant groups.
• Preparing documents, presentations, and reports on behalf of the VP.
• Co-ordinating travel arrangements and itineraries, including booking flights and accommodation.
• Handle multiple deadlines with excellent time-management, organisational, planning and prioritisation skills.

Requirements
• 2+ year’s experience in an executive support role with a demonstrated track record working at this senior level, ideally within a Global business.
• Exceptional organisational skills and attention to detail, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
• Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization.
• Proficiency in Microsoft Office Suite and other relevant software applications.
• Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
• Some flexibility to work across different time zones and accommodate international travel as needed.
