Summary


We are looking for someone to provide administrative support to our Service.

You will support the the clinician, clinical staff and all patients under their care, including administration of all the clinical system i.e. Infoflex, Careflow etc. dealing with correspondence and other administrative duties as required. To undertake the role of booking patients, using spreadsheets provided by specialties.

Liaise with Inpatient and Outpatient Booking teams all directorate for the services supported by Pre-Assessment Service to ensure effective pathway management and to continue good working relationships.

Patient administration underpins the patient journey and supports the clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.

You will have responsibility for the provision of a professional, comprehensive and efficient administrative service, to support the delivery of high-quality clinical services under the supervision of Pre-assessment Lead.

The person will be an important member of the pre assessment team supporting the smooth running of the pre assessment service on a daily basis.

Maintain an accurate and current filing system, ensuring letters, clinical reports, diagnostic test results and other notes are filled in the correct patient’s notes. In either paper or electronic record system.

Work collaboratively with other professionals to ensure that patient needs are met.

Request and coordinate patient notes from medical records, hospital services and other relevant parties, complete all the appropriate documentation ensuring everything is present for the patient’s appointment with the clinical teams.

Act upon queries from referrers, patients, and other relevant parties in liaison with clinical staff. Take relevant action to provide reassurance and support to patients and their families by finding appropriate solutions and liaising with clinical teams to resolve any problems.

Ensure compliance with policies, procedures and clinical guidelines for self and others or provide rationale if departing from guidance given

Demonstrate autonomy within the role.

Speak directly with patients around the booking of their pre-assessment appointment, experience and confident dealing with patients and relatives sensitively.

Follow local escalation plans and have a clear understanding of responsibilities in a major incident.

Demonstrate a high level of commitment and enthusiasm for research, audit and education in the clinical area.

Support and contribute to on-going and future service development projects supporting continuous improvement of the service we provide.
