The post holder will provide customer service support to patients attending the Outpatient

Department at The Royal Orthopaedic Hospital. The post holder will help patients complete their questionnaires on electronic devices available within the department ensuring the provision of an efficient and effective service. The post holder will work under the supervision of the Clinical Effectiveness Manager, to ensure that the Trust has a robust clinical outcomes collection process.

The post holder will be responsible for the validation and submission of patient outcomes data onto the Trusts clinical effectiveness platform 'Amplitude' and mandatory data to the National Joint Registry (NJR) and Patient Reported Outcomes Measures (PROMS) on every eligible patient who undergoes surgery within ROH. Prompt reporting of surgical data is now a core requirement by Commissioners.

The post holder will be expected to coordinate the collection and submission of all of the surgical-specific in a timely fashion, ensuring the department meets all reporting and outcome deadlines.
• Utilising the clinical outcomes system "Amplitude" to view and print out daily Consultant clinic lists.
• Identify patients that require questionnaire responses that are attending the Outpatient
• Providing support to patients attending the Outpatient Department with completing questionnaires on electronic devices.
• Working alongside Outpatient Department colleagues and Consultants to identify patients that require support completing questionnaires.
• Respond to all enquiries and contact with members of the public and staff of all disciplines with tact, sensitivity, and confidentiality at all
• Deal with general enquiries and providing information such as direction or waiting
• Regular review of own systems and working practice and put forward proposals for changes to working practice and procedures.
• Ensuring urgent matters are brought to the attention of the appropriate person in a timely fashion reporting any problems or issues to senior staff and seeking clarification if unsure of procedure(s).
• Maintain the confidentiality of any information obtained regarding patients and be aware of the Data Protection Act, Caldicott and Freedom of Information policies.

National Joint Registry (NJR):• Print off theatre lists each day for relevant Hip/Knee/Shoulder/Elbow/Ankle operations - to be used to check the relevant NJR forms are being returned to the Clinical Audit & Effectiveness Team or have been inputted onto Amplitude.
• Go to Theatres every day to collect completed NJR forms where these have not been inputted on Amplitude.
• Check completed NJR forms against the relevant theatre lists & check off the numbers of forms against the checklist each day.
• Examine all NJR forms for any discrepancies - use Trust databases to collect missing clinical information where appropriate.
• Input completed NJR forms into the NJR
• Check NJR forms on Amplitude have been completed
• Where NJR forms are incomplete, an email is sent to the relevant Consultant requesting information required. A 10-day deadline is given to the Consultant. If no response has been received after this date, the Clerk is required to email the Consultant and copy in the Clinical Effectiveness Manager.
• If no response is received after this date. The Clinical Effectiveness Manager will escalate to the Clinical Service Lead.
• Monthly report to be completed for the Clinical Lead for National Joint Registry - this includes details of missing NJR forms i.e. dates, surgeons, theatre, patients details & operation details.
• To prepare reports for the monthly Clinical Audit and Effectiveness
• To work through the Edit Stack on the NJR of incomplete NJR
• To support the Clinical Audit & Effectiveness Facilitator with the NJR Data Quality
• Work alongside the Clinical Effectiveness Manager, Clinical Audit & Effectiveness Facilitator, Audit Nurse & the Clinical Lead for NJR to ensure this national audit is run accurately, timely & effectively.


Patient Reportable Outcomes Measures (PROM'S)• Prepare PROM's forms for Pre-Operative Assessment Clinic & Admission & Day Case
• Input PROM's forms for primary Hips & Knees onto
• To check the Amplitude system on a daily basis to review which patients have completed their PROMs questionnaires.
• To select the Email function on Amplitude where the patient has an email address and they have not completed their questionnaires.
• Contact patients where we do not have an email address
• To actively liaise and support those patients in clinic where they have questionnaires
• Support the Audit Nurse as & when required to facilitate the smooth process of PROM's.

Other Duties:
• General clerical and office management duties within the office and maintain an efficient filing system.
• Book meeting rooms, assist in meeting preparations, take and prepare minutes of meetings as required.
• Attend and participate at regular team meetings. Provide suggestions of improvements to current systems and practices and help implement as required.

• Discuss ideas, creative solutions, issues, problems & concerns with the Clinical Effectiveness Manager.
• Attend monthly Clinical Audit & Effectiveness Team meeting with the rest of the team to discuss workload & also any issues/ideas/concerns/learning.
• Maintain effective communication to ensure service delivery.
