Summary


An exciting opportunity has arisen for an enthusiastic individual to join our Learning and Development Admin team.

As a Learning and Development Administration Assistant you will support the Assistant Director of Workforce Transformation in a range of administrative activities as well as assisting the Learning and Development Administration Team updating the Electronic Staff Records (ESR) system.

This is a full time post for up to 37.5 hours per week and is based within a positive and proactive administrative team. This is an office-based role but some remote working may also be required.



Main Duties include:

- Diary Management

- Arranging and Minuting meetings

- Updating and maintaining Electronic Staff Records system (ESR)

Assist the Assistant Director of Workforce Transformation with administrative functions. This will include diary management, support with activities, development of documents, arrangements of meetings etc.

Assist in the co-ordination and progression of training programmes and projects, taking forward discrete work projects independently as agreed.

Take an active role in providing telephone ‘cover’, dealing with routine phone and face-to-face enquiries, providing advice using standard operating practices on behalf of the learning and development team and the organisational development team.

Be a point of contact for training leads and staff who require further information/assistance.

Provide administrative support at People and OD events such as Induction and Recruitment; occasionally taking minutes at department and committee level for teams in the People and OD.

Provide workshops and events administration, processing enrolments, taking credit card payments, sending course information to students, setting up courses on the Trust’s electronic staff database (ESR), confirming timetables and arrangements with tutors, following up students who fail to attend and collating evaluation forms from attendees and tutors.

To assist with the production and uploading of ESR support and course materials; including presentation, formatting, and proof reading in liaison with the Learning and Development Team and other subject specialists to ensure a high level of consistency and quality is maintained.

Work in line with guidance to ensure accuracy in inputting supervisor hierarchy changes onto ESR.

Assist in provision of effective maintenance of ESR to ensure that demands for workforce information can be met.

Support the running of ESR reports; summarising and extracting data for onward circulation as directed.

Provide routine workforce information to timetable and on demand.

Assist in the development of eLearning packages and maintain these on ESR.

Enable and train groups of ESR users in employee and supervisor self-service.

Monitoring and maintaining adequate stationery stocks and training materials to meet the needs of the department and its customers; using EROS to process requisitions and checking deliveries in a timely and accurate manner.

Contribute to engaging and building business relationships through provision of high-quality information.

Contribute to the maintenance of the departments’ directories and web pages with up-to-date information to support the organisation’s use of HR systems e.g., course catalogue and advertisements.

Ensure equipment faults are reported and monitor resolution progress.

Contribute to the maintenance and development of departmental policies and procedures.

Demonstrate duties and instruct new starters in the team and less experienced team members on departmental procedures and policies.

Setting up team meetings and diary requirements for the team.

Support the People and OD management team with other projects as directed.

Any other reasonable duties required by the People and OD senior management team management team.
