Summary


Are you a well-motivated, organised, good team player and have secretarial experience?

As part of our developing and forward-thinking administrative team in Radiology, we are looking for a support secretary preferably with experience however not essential. The post-holder will be expected to be an active team member, participating in all team activities associated with the role. The successful applicant will work closely with the Senior Medical Secretarial team on a day-to-day basis and should have excellent secretarial skills, be able to work to tight deadlines as and when necessary and be able to work on their own initiative at times. The role is part of a large administrative team situated at University Hospital Coventry. You will be working closely with consultants and their teams, dealing with patient calls, and assisting healthcare professionals and departments across the Trust.

The successful candidate should be educated to GCSE level, must have strong communication skills, should be proficient in using all aspects of Microsoft Office, particularly Word, Excel, Teams and Outlook. Medical terminology would be beneficial and Knowledge and experience of RTT pathways are also desirable but not essential.

1. To function as the departments point of contact when dealing with day-to-day correspondence. Ensuring all enquiries are effectively managed and successfully resolved within a prompt timescale ensuring all relevant personnel are informed as necessary and an appropriate record is maintained. 3. To continually contribute to patient and business improvement agendas. This will require: undertaking any project work as directed, including obtaining information from the Internet, collation and reporting of data in order to produce reports and spreadsheets utilising relevant Trust IT systems, as determined by the role, ensuring all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include IPM, CRRS, Opera, CRIS, Ultra, Respond, IMPAC etc. Share ideas for potential service improvement
4. To assist with the implementation and maintenance of an efficient office management system/procedures to enable the department to optimise its patient care services. This will require effective time management; arranging and preparation of correspondence and reports; establishing and maintaining efficient manual and electronic correspondence and documentation management systems; ensuring office equipment and stationery levels are maintained, processing orders as required
5. To support team members. This will require: Undertaking appropriate staff training and development as required; providing cross-cover on a reciprocal basis in the absence of colleagues and providing day to day supervision where required
6. To input correspondence and material from dictation, audio or manuscript as required by the Imaging Team i.e. clinic letters, references, minute taking of meetings, rotas, etc
7. To deal with enquiries on behalf of the Imaging Team either by telephone, personal contact or correspondence, within agreed limits and take appropriate action, i.e. ensure appropriate documentation is available.
1. Assist with the patient pathway and ensuring that all necessary appointments, including bookings, cancellations, clinics, waiting list etc. are arranged on time, ensure that Imaging modalities are utilised to capacity, diagnostics and tests are processed as requested and that patients receive timely treatment thus meeting the Trust and national standards when required
2. Assist the Imaging Team on receipt of test/investigation results retrieve relevant patient notes and alert of any urgent or abnormal test results when required.
3. Provide general administrative services including photocopying, filing and other office routines
4. Ensure all correspondence and documentation is filed promptly and cross reference whenever necessary
5. Ensure clinical notes are correctly completed with the patient details and accurate copies of investigative reports and correspondence are filed in medical records case notes, following laid down guidelines
6. Receive and sort daily post, date stamp and distribute as appropriate
7. Assist the process of patient tracking including booking all necessary appointments, chasing results, waiting lists and ensuring that patients receive timely treatment up to the point of discharge when required
8. Consult with other hospital departments, GPs and other health care agencies when required
9. Assist the coordination of Imaging Teams’ diaries to ensure effective time management.
