B3 Ward Administrator

Part-Time Vacancy (15 hours per week)

Are you looking for an exciting opportunity to join our friendly team on Thorndon Ward at Brentwood Community Hospital? Thorndon Ward rehabilitation is open 24 hours a day, 7 days a week, so you may be expected to work the occasional evenings and weekends in this role. Brentwood Community Hospital is near to both Shenfield and Brentwood station. The hospital is situated in pleasant surroundings, we have a newly refurbished subsidised canteen with nice seating areas inside and outside in the garden, and there is ample free staff parking on site.

Post holder will have previous experience of working in the provision of excellent customer care. To have worked as an Administrator within a demanding environment, with excellent secretarial/ administrative skills including minute taking, and electronic record keeping.

Previous experience of working in an NHS environment is preferred, but not essential.

Successful candidates must have the ability to accurately input activity data onto the electronic patient record database.

You should have developed communication skills with a range of people & be able to provide an initial response to patients and assist them with their queries.

You will have the ability to assist the team by liaising with other departments or agencies for all aspects of the service users experience with the service & will also act as a point of contact for service users and to deal appropriately with enquiries.

This role will also involve processing referrals, booking appointments, interpreters & transport for patients, ensuring confidentiality is maintained at all times.

You should be able to provide high standard, smooth, efficient and organised administrative support at service level, liaising with the senior staff on duty. They will also be expected to manage day-to-day administrative duties to ensure the smooth running of the service.

Ability to use IT systems and databases & be able to demonstrate an understanding of quality control processes within the area of work.

Probationary Period

This post will be subject to a probationary period. Internal applicants are exempt from the probationary period (unless you are an internal applicant currently part way through a probationary period or currently a bank member of staff).

Starting with NELFT

NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment. As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes. The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement – London

This post also attracts payment for High Cost Area Supplement of 5% of the basic salary (minimum payment of £1,192 and a maximum payment of £2,011 per annum pro rata).

To be present in main reception area; to meet and greet visitors and relatives to the ward and offer assistance with any enquiries.

To carry out daily administrative duties-including answering the telephone and signposting as appropriate, typing of letters, arranging appointments, developing and maintaining databases to support the clinical team in offering a high-quality service.

Ordering of weekly clinical supplies and arranging medical equipment hire as and when required.

To maintain the reception area to ensure that it is inviting and promotes the vision of the trust.
