- Ensure Trust staff are updated on any maintenance activities, particularly those likely to cause disruption to wards.
- Ensure all contractors have undergone a site induction and sign in when attending site.
- Ensure all suppliers have up to date Risk Assessments for their day to day activities.
- Ensure all maintenance records are kept up to date and available when required.
- Maintain internal databases, including those of regular suppliers.
- Prepare regular reports and presentations.
- Organize, store and print company documents as required.
- Handle queries from managers and employees.
- Update office policies and ensure compliance with them.
- Carry out condition monitoring of site assets and record using an on-line portal.
Requirements and skills
- Proven experience as an Administrator or relevant role, preferably in a maintenance environment
- Knowledge of office policies and procedures
- Experience with office management tools (MS Office software, in particular)
- Excellent organizational and time-management skills
- Strong written and oral communication skills
- Problem-solving attitude with an eye for detail
- Ability to form strong working relationships with key stakeholders within the NHS Trust and Helpdesk.
- Knowledge of Heath and Safety procedures would be advantageous.
