Summary


To work as part of the Change and Transformation to provide a comprehensive administrative service to the wider team, including Programme and Project Managers, Project Support Officers and Data Support Officers.

Supporting the team to provide a comprehensive secretarial and administration service always ensuring confidentiality and sensitivity to the highest standards.

Activities could include:
• Efficient and effective diary management service and the co-ordination of diaries, as required
• Plan and prioritise all correspondence, to optimise working patterns, for Programme Managers or groups/committees, guiding them to work in a more agile manner
• Act as an ambassador for The Change and Transformation Team as being part of a team supporting identified colleagues or groups and ensuring professional standards and adaptable style of communication are demonstrated
• Have a basic working knowledge of senior management structures and committees and their portfolios.
• Assist the Programme and Project Team Managers to collate and coordinate information, and generate reports and formal documents using appropriate software with a high level of accuracy required
• Contribute to the regular Team meetings / planning process and undertake a proactive approach in planning, and be responsible for organising multidisciplinary meetings, conferences and events as required, within own area of responsibility defined within work plan.
• Contribute to an effective assurance system and shared information system with the team and wider teams where appropriate.
• Support the data input to Programme Management systems and co-ordinate on behalf of Programme managers and/or groups
• Co-ordinate travel and booking arrangements and associated expense management support for identified senior individuals or group
