Summary


The post requires to manage all aspects of the school office and administration including the design and implementation of office management systems within a highly specialist service that branches both NHS Foundation Trust and Education.

Due to the nature of the school setting, the post holder requires in depth knowledge and understanding of external regulators of both the NHS Quality Care Commission (CQC) and Department for Education (DFE) – Ofsted. The post holder is responsible for assisting the Head teacher and Senior Leadership team with all necessary preparations for external regulator inspections.

The post holder will lead on some developments from a data management and analytical perspective and works closely with Senior Leadership Team and the Gloucester House Steering Group committee to support the development of the service in response to growth and demand in addition to monitoring service delivery.

The post holder is actively engaged with Commissioners for processing referrals though complex patient pathways/school admission processes, working closely with Senior Leadership team and the Trusts Contracts team.

The post holder must be able to deal with incidents with empathy, tact and the highest level of confidentiality at all times. Safeguarding and Chid Protection within Gloucester House is paramount and is everyone’s responsibility and therefore the post holder will be trained to Safeguarding Level 3 (every 2 years).

Responsible for the provision of a high quality, cost effective and efficient administration across the service and contribute to/or lead on activities/ projects.

Liaise and communicate at senior level with professionals within and outside the Trust linking them with Gloucester House and Trust staff as appropriate.

To provide and oversee a high quality, efficient, and effective administration service to the complex multi-disciplinary team at Gloucester House.

Direct line management responsibility for the administration team and management of staff performance and disciplinary issues within the administrative team.

Direct line management responsibility for the school Kitchen Assistant ensuring all lunchtime duties and cleaning requirements are coordinated effectively.

Responsible for the effective response to, and resolution of, complex enquiries and correspondence.

In partnership with the Senior Leadership Team manage projects, planning for change and development.

Plan, organise and implement quality improvement initiatives using appropriate tools to assess impact.

Liaise with appropriate persons/authorities to ensure the carrying out of statutory requirements, including production of data, reporting, and ordering for the Trust and School (e.g. Ofsted, CAMHS, SATS, Pupil Level Annual School Census, etc.)

Gloucester House forms part of the Integrated Schools Service of the Tavistock Clinic and is managed by the Tavistock and Portman NHS Trust. It is a specialist school and CAMHS team which provides education and clinical services for up to 21 pupils aged 5-14 years who have social, emotional and mental health needs, often alongside other learning difficulties such as specific language or literacy difficulties and sometimes more general learning difficulties. Many of our pupils are neurodiverse.
