About the role
We have an exciting opportunity for a Lifecycle Coordinator to join our friendly team. As Lifecycle Coordinator you will be expected to support the various PO generation and billing support activities required to support the Lifecycle, PMO and finance Teams in progressing works and the subsequent collation of documentation ahead of billing.
This is a home based, full time role working 40 hours per week, Monday to Friday between 8:30am and 5:00pm. However, there is a requirement to work flexibly to meet the needs of the business.
Responsibilities
To generate PO Orders in respect to works required by the PMO team and authorised by the Lifecycle & Assurance Team as part of planned works or reactive works.
To receipt PO’s on completion of works or delivery of goods (Evidenced)
To maintain an aligned log of spend against plan for Reactive and Planned works, ahead of billing process
To collate, prepare and validate the required documentation for the billing of works, planned or reactive
Work with the Project Managers (Planned works)
Work with Operational Leads (Low level Reactive Lifecycle)
Work with the Lifecycle Team on agreed budgets
Work with the Lifecycle Accountant to generate billing advise notes
Support the lifecycle plan production, contract by contract, including obtaining information to answer SPV queries in relation to the plans
To programme survey activities to ensure annual visits are aligned with lifecycle plan obligations
Assist in the provision of accurate cost data in respect of lifecycle plan budget Vs PMO actual spend, as part of the monthly financial review & reporting between Lifecycle and PMO (To be developed as part of the job holder’s responsibilities)
Ownership of the Monthly Lifecycle & Assurance Report, its creation and issue to the ExCom and G4S contracts management teams within the agreed timeframe
Analysis of the MI report for root cause failure
Production of Exception reports on KPI Performance
THE IDEAL CANDIDATE:
Essential
Experience of working with business systems used in the FM industry
Computer literate Essential IT skills including Google & experience with Microsoft Word and Excel
Liaison with management and contractors.
Working knowledge of Lifecycle
