Summary

Our client is looking to appoint an Office Administrator on a full time basis in Dingwall. We are seeking a highly motivated and dedicated individual who will have the opportunity to gain valuable experience and further develop administrative skills within a dynamic and fast-paced professional environment. You will provide essential support to the office team and contribute to the smooth functioning of the business.

This is an entry level position that offers a valuable opportunity to gain practical experience on office administration. General Administrative Support: Assist in various administrative tasks, including managing phone calls, emails, and correspondence, scheduling appointments, typing including audio typing, maintaining office supplies, and providing refreshments for office and clients.
Act as relief receptionist when needed.
Document Management: Assist with organising and maintaining legal documents, ensuring proper filling, scanning, and supporting with post and mailing.
Client Support: Provide exceptional customer service to clients, answering inquiries and directing them to the appropriate departments.
Data Entry and Reporting: Accurately enter and update client information, case details and other data into the firm’s case management system.
Office Operations: Support day-to-day operations and maintaining office equipment and supplies.
Meeting and scheduling: Assist in organising and scheduling meetings, maintaining, and managing diaries.
Confidentially and compliance: Maintain strict confidentiality of sensitive client information and adhere to the firms’ policies and procedures, ensuring compliance with legal and ethical standards.
Training and development: Participate actively in training programs and professional development opportunities to enhance your skills and knowledge.

Person Specification
Strong organisation and time management skills with the ability to prioritise tasks and meet deadlines in a fast paced environment.
Excellent written and verbal communication skills being able to effectively communicate with a wide range of customers, clients, colleagues, and Partners.
Ability to understand and follow procedures.
Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to handle multiple tasks simultaneously and adapt to changing priorities.
Strong interpersonal skills and the ability to work as part of a team.
Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
Proactive problem solving skills and the ability to exercise sound judgement.
A positive attitude with a willingness to learn and contribute to the success of the firm.
