Summary
- Responsible for the supervision of daily outbound operations and associated tasks within the designated warehouse(s) to ensure all orders are processed in accordance with 3PLUK’s Customer Service Level Agreements (SLA’s).
- The Despatch Supervisor is the point of contact for operational procedures and processes across the Despatch Operation whilst in charge, and as such is expected to have a thorough grasp/ control on all operations occurring within the department, including Health & Safety and Housekeeping, compliance of documented procedures and policies.
- After training, the working hours of this role will predominantly be Monday to Friday 08.30 to 17.30, but from time to time will also entail the covering of other supervisors shifts as a result of peak activity, holidays, or sickness. Examples of this could be weekend working from 07.00 – 16.00, weekdays, early shift 06.00 to 15.00 and a late shift from 13.00 - 22.00.
- This role will involve being a key holder on site and securing the site upon completion of the working day.
- This role will report directly to the Warehouse Manager.
Role Specifics
- Supervise the despatch process/ team members to ensure all orders are despatched in accordance with customer specific SLA’s.
- In conjunction with the Warehouse Manager, develop and implement robust and documented operational procedures that clearly demonstrate the way in which the Management Team expect the operation to perform and function.
- Ensure all Non-Negotiable standards (see below)/ Procedures are maintained, monitored, and recorded.
- Liaise with the Warehouse Manager on a daily / weekly basis to ensure appropriate staffing levels are maintained in-line with daily order volumes and weekly forecasts.
- Liaise with the Warehouse Manager to ensure appropriate levels of packaging and consumables are maintained and available at all times.
- Hold weekly Team meetings to brief staff on such things as Departmental Performance (KPI’s), new Operational Procedures, Health and Safety Toolbox talks, forthcoming Promotions and activities.
- Responsible for departmental inductions, staff training and maintaining all agreed departmental standards including daily random” spot-checks” across all processes to ensure agreed standards are being met and maintained.
- Responsible for the documenting and maintenance of the Despatch Departments training “Matrix” detailing employee’s skill sets and tasks that they are fully trained in and able to perform to agreed standards.
- Lead, motivate and engage with all team members to maximise departmental productivity, create a competent and multi-skilled workforce and act as a conduit for new ideas and feedback to drive continuous improvement.
Non-Negotiable Standards
- Ensure that departmental resources are ready to be allocated to tasks at the start of each departmental shift.
- Instruct colleagues to the tasks that have been allocated them and how to undertake these as well as clearly communicating the standard of work required.
- Ensure that all colleagues designated to work within the Despatch department are at their workstations and ready to commence work at the start of their allocated shift.
- Maintain a clean, safe, and healthy work environment by adhering to and enforcing site rules, legal regulations and organization standards and best practice.
- Maintain a high level of hygiene and product care within the Department.
- Working alongside the Warehouse Manager, carry-out regular departmental Health and Safety, Housekeeping audits to both maintain agreed standards and highlight non-compliance.
- Take the lead in resolving departmental operational problems that impact the business’s ability to deliver SLA’s by implementing new procedures which enhance efficiency and accuracy.
- Ensure that allocated breaks are started and finished on time.
- Monitor colleagues to ensure all work is to the agreed and documented standard, processes are followed and any deviation, non-conformity to this is retrained and standards reiterated.
- Carry-out on-going KPI analysis of departmental personnel to both maintain and improve productivity standards whilst reviewing and introducing new ways of working as necessary.
- Perform daily random/spot checks across all processes to ensure agreed standards are maintained in accordance with clients SLA’s and customers’ expectations.
- Ensure all orders are processed in strict date and time sequence unless otherwise instructed.
- Manage and monitor stock replenishment reports that ensure pick-faces are replenished efficiently and in a timely manner that doesn’t impact picking efficiencies (FIFO)
